Key Responsibilities
- Support the Data Manager in planning, developing, organising, and monitoring the school’s Management Information System
- Maintain accurate academic, pastoral, assessment, attendance, behaviour, timetable, and examination data
- Validate imported and manually entered information before it is used for reporting or analysis
- Identify missing, duplicated, inconsistent, or inaccurate records and coordinate timely corrections
- Serve as a data liaison between school leaders, teaching teams, support staff, and administrative departments
- Respond to data requests and clarify reporting requirements with relevant stakeholders
- Produce attainment and progress reports for academic teams
- Analyse report grades, internal assessments, public examinations, and other student performance measures
- Develop comparative reports covering year groups, subjects, cohorts, student groups, and reporting periods
- Use school data to identify trends, gaps, risks, and areas of improvement
- Present findings in a clear format that supports teaching, intervention, and leadership decisions
- Compare school performance data with relevant internal or external benchmarks where required
- Support school development leaders with evidence for strategic planning and improvement priorities
- Prepare and analyse information required for school inspections
- Support the development of the School Evaluation and School Improvement Plan
- Compile supporting data, trend reports, evidence summaries, and performance measures for inspection readiness
- Liaise with the Examination Officer regarding internal and external examination data
- Verify examination results and ensure that reports reflect accurate student and subject information
- Assist with the processing, analysis, and distribution of examination outcomes
- Support the Data Manager with timetable planning and data administration
- Assist with daily and planned staff cover information
- Help maintain attendance records and related reports
- Support the administration and analysis of student rewards and sanctions
- Organise assessment data processing according to the school calendar
- Ensure reports and datasets are completed within required academic and operational deadlines
- Build and maintain Microsoft Power BI dashboards for school leaders and relevant teams
- Create visual reports that make performance measures, patterns, and exceptions easy to understand
- Use Microsoft Office applications to prepare data files, reports, presentations, and supporting documentation
- Maintain secure and organised records while protecting confidential student and employee information
- Attend leadership meetings and other operational meetings when data input or presentation is required
- Develop constructive working relationships with employees at all levels and with external agencies or professionals
- Attend relevant professional development courses
- Monitor developments in educational technology, data systems, reporting practices, and school analytics
- Engage with technology suppliers, professional organisations, research, publications, and conferences where appropriate
- Recommend improvements to reporting processes, data quality controls, dashboards, and system use
Ideal Profile
- Minimum two years of experience in a Data Assistant or comparable school data role
- Essential practical experience using Nova‑T6
- Essential experience working with educational data, including academic and pastoral information
- Experience using Go4Schools is desirable
- Previous exposure to school Management Information Systems and student data processes
- Experience preparing attainment, progress, assessment, examination, attendance, or behaviour reports
- Competence in building Microsoft Power BI dashboards
- Strong Microsoft Office skills, particularly Excel
- Logical and analytical thinking with the ability to interpret complex data
- High level of accuracy and close attention to detail
- Ability to identify trends, discrepancies, and unusual patterns in school data
- Efficient and organised approach to time-sensitive reporting requirements
- Ability to prioritise workloads according to the school calendar and operational deadlines
- Capacity to manage several tasks and respond effectively during periods of peak demand
