Role Context
The Exams Officer will hold a central operational and compliance role across the Prep and Senior School, ensuring that examination processes are secure, accurate and consistently administered.
The position spans examination entries, timetabling, invigilation, access arrangements, results services and the controlled handling of confidential examination materials.
Beyond examination delivery, the role will contribute substantially to the academy 's assessment and data strategy.
Working with senior leadership and the Deputy Head Assessment, the postholder will help translate student performance information into reliable dashboards, inspection evidence and improvement priorities while maintaining alignment with KHDA, GEMS and British Schools Overseas expectations.
Key Responsibilities
- Lead the planning and administration of internal and external examinations across the Prep and Senior School.
- Ensure compliance with regulations issued by Pearson Edexcel, Cambridge Assessment International Education, Oxford AQA and AQA.
- Act as Head of Centre or delegated examination lead where required by regulations and school policy.
- Manage examination entries, candidate registrations and associated deadlines.
- Produce accurate examination timetables and coordinate rooming, staffing and logistical requirements.
- Maintain secure procedures for receiving, storing, distributing and returning examination materials.
- Establish and monitor invigilation standards across all examination sessions.
- Recruit, brief and train invigilators and relevant school staff on examination procedures.
- Coordinate access arrangements for students with SEN or EAL requirements in accordance with applicable regulations.
- Lead examination-day operations and respond effectively to irregularities or procedural concerns.
- Coordinate results-day activity and ensure accurate communication of examination outcomes.
- Manage post-results services including enquiries about results, appeals and certification processes.
- Maintain complete examination records and compliance documentation.
- Ensure examination procedures meet KHDA expectations for transparency, fairness, safeguarding and integrity.
- Support development of the academy as an examination centre for private candidates.
- Work with the Deputy Head Assessment to develop and implement a whole-school data strategy.
- Maintain accurate and reliable information across relevant management information systems.
- Monitor data integrity and establish efficient processes for validation and correction.
- Support the design of assessment cycles, tracking frameworks and school reporting systems.
- Produce clear data dashboards and analytical reports for the Senior Leadership Team.
- Prepare performance information required by GEMS corporate leadership.
- Compile accurate evidence and reports for KHDA and BSO inspections.
- Align assessment reporting with measures including attainment, progress, wellbeing and inclusion.
- Maintain inspection-ready assessment policies, data reports, impact analyses and examination compliance records.
- Conduct internal audits of attainment, progress and examination information.
- Compare internal assessment outcomes with external examination performance to identify discrepancies and trends.
- Develop evidence-based narratives that demonstrate school performance and improvement impact.
- Promote a data-informed culture of accountability and performance tracking.
- Line-manage relevant examinations, assessment or data personnel as assigned.
- Train middle and senior leaders on examination procedures, data expectations and compliance.
- Deliver examination training to academy staff and relevant colleagues across the Wellington Cluster or wider GEMS network.
- Contribute examination and assessment priorities to the School Improvement Plan.
- Benchmark performance against GEMS schools, UK national standards and international British schools.
- Communicate examination regulations, processes and timelines effectively to parents.
- Provide students with clear guidance on examination requirements and academic pathways.
- Support university guidance teams with accurate predicted grades, transcripts and supporting data.
- Liaise with KHDA, examination boards and GEMS central teams when required.
- Present examination and assessment information to the Local Advisory Board and GEMS Corporate Office.
- Assist with school cover and examination invigilation where necessary.
- Maintain efficient reporting systems that provide parents with meaningful information on academic progress and personal development.
Ideal Profile
- Relevant experience managing school examinations, assessment systems or academic data.
- Strong knowledge of external examination administration and regulatory compliance.
- Familiarity with awarding bodies such as Pearson Edexcel, Cambridge Assessment International Education, Oxford AQA and AQA.
- Understanding of examination entries, timetabling, invigilation and secure material handling.
- Experience coordinating examination access arrangements.
- Knowledge of post-results services, appeals and certification procedures.
