Key Responsibilities
- Provide professional executive and administrative support to the Senior Leadership Team.
- Manage calendars, meetings, appointments, documentation, correspondence, and follow‑up actions for senior leaders.
- Support the smooth running of school functions through accurate coordination, timely communication, and effective administrative planning.
- Communicate professionally and promptly with parents, staff, students, external stakeholders, and school visitors.
- Prepare reports, presentations, letters, notices, schedules, and other documents using Microsoft Office and relevant administrative systems.
- Maintain accurate files, records, trackers, communication logs, and operational documents in line with school procedures.
- Coordinate the administration of the school sports programme, including schedules, communication, participation records, and logistical support.
- Manage extra‑curricular activities administration, including activity planning support, registers, parent communication, staff coordination, and updates.
- Work with internal teams to support events, activities, meetings, sports arrangements, and community initiatives.
- Handle telephone calls, enquiries, and stakeholder communication with excellent etiquette and a helpful service approach.
- Monitor deadlines, prioritise tasks, and support senior leaders with time‑sensitive administrative requirements.
- Use school systems, Microsoft Office tools, and internal processes to improve organisation and workflow.
- Respond flexibly to changing school demands while maintaining accuracy, confidentiality, and professionalism.
- Build positive working relationships across leadership, teaching teams, support staff, parents, and wider school stakeholders.
- Follow GEMS Education policies, safeguarding expectations, school procedures, and professional codes of conduct at all times.
Ideal Profile
- Minimum 3 years of experience working within a school environment.
- Previous experience as an Executive Assistant, Personal Assistant, School Administrator, or senior administrative support professional is preferred.
- Experience in sports administration, extra‑curricular activities coordination, events coordination, or school programme support is a strong advantage.
- Excellent written and spoken English communication skills.
- Exceptional telephone etiquette and a professional approach to parent and stakeholder communication.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Ability to use school systems, administrative platforms, trackers, and digital tools confidently.
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple tasks, competing priorities, and deadlines in a busy school environment.
- Strong presentation skills and the confidence to communicate clearly with diverse stakeholders.
- Proactive, resilient, solution‑focused, adaptable, and able to work independently when required.

- A UK‑enhanced DBS or equivalent police clearance is required for appointment.
