Job summary

Ardent Partners is seeking an experienced Bid Coordinator in Dubai to manage the full tender process from enquiry to submission. You will work with estimating, planning, design, procurement and senior leadership to deliver high-quality bids on time.

The role requires coordinating bid activity across departments, maintaining submission programmes, and ensuring compliance. UAE/GCC experience and strong English writing are essential for success in a fast-paced environment.

Qualifications

• 3+ years in bid coordination or tendering
• UAE or GCC experience essential
• Excellent written English and strong attention to detail
• Advanced skills in Microsoft Office and Adobe InDesign

Responsibilities

• Manage the tender register and track all live bids and deadlines
• Review tender documents and prepare compliance matrices and submission programmes
• Coordinate tender kick off meetings and follow up on actions across all departments
• Manage tender queries, clarifications and addenda with clients and consultants
• Compile, format and submit technical and commercial submissions
• Prepare prequalification documents, company profiles and capability statements
• Maintain a library of CVs, project case studies, method statements and standard templates
• Support post tender clarifications, presentations and interviews
• Record bid outcomes and client feedback to improve future submissions

Job description

Our client is a Tier 1 main contractor in Dubai working across fit out and build projects with a strong pipeline of major projects across the UAE. Due to continued growth in their tendering activity, they are looking to appoint an experienced Bid Coordinator to join their pre contract team.

The Role

You will manage the full tender process from receipt of enquiry through to submission, working closely with the estimating, planning, design, procurement and senior leadership teams to deliver high quality, compliant bids on time.

Key Responsibilities

• Manage the tender register and track all live bids and deadlines
• Review tender documents and prepare compliance matrices and submission programmes
• Coordinate tender kick off meetings and follow up on actions across all departments
• Manage tender queries, clarifications and addenda with clients and consultants
• Compile, format and submit technical and commercial submissions

Requirements

• Minimum 3 years' experience as a Bid Coordinator or in a similar tendering role with a main contractor
• UAE or GCC experience essential
• Experience on large scale projects in building, fit out or infrastructure
• Excellent written English and strong attention to detail
• Advanced skills in Microsoft Office and Adobe InDesign
• Well organised and able to manage several tenders at once under tight deadlines
