Job summary

Al Futtaim Private Company (LLC) is seeking an Aftersales Receptionist to uphold exceptional customer service within the service department. You will greet customers, manage appointments, and provide administrative support to ensure a smooth journey from arrival to departure.

The role requires precise scheduling, strong communication, and collaboration with Service Advisors and workshop teams in a fast-paced automotive environment.

Qualifications

• Excellent customer service and interpersonal skills.
• Proficiency in using customer relationship management (CRM) software.
• Strong organizational skills with attention to detail.
• Ability to multitask and prioritize in a fast-paced environment.
• High school diploma or equivalent; additional certification in customer service is a plus.
• 1-2 years of experience in a customer-facing role, preferably in the automotive industry.
• Proficient with appointment management systems and customer management software.
• Strong verbal and written communication skills with a focus on customer service.

Responsibilities

• Greet customers professionally upon arrival at the service center.
• Direct customers to the appropriate Service Advisor or department.
• Handle incoming telephone calls, WhatsApp inquiries, and email communication.
• Maintain a welcoming and organized reception area at all times.
• Manage service appointments in the system for walk-ins and scheduled visits.
• Confirm daily bookings and update customers on any appointment changes or waiting times.
• Coordinate with Service Advisors to prevent overbooking or delays.
• Ensure accurate appointment details are uploaded in the system.
• Provide customers with service information, estimated waiting times, and necessary paperwork.
• Assist with vehicle status updates when Service Advisors are unavailable.
• Notify customers when their vehicles are ready for delivery through phone inquiries.
• Prepare and manage service-related documents and appointment sheets.
• Assist with invoice printing and provide customer copies.
• Maintain logs for customer visits, calls, and vehicle flow.
• Support Service Advisors with queue management and communication of concerns.
• Ensure smooth workflow between reception, workshop, and parts.
• Monitor vehicle delivery processes accurately.
• Follow brand and dealership policies and maintain data confidentiality.
• Attend to attendance and punctuality requirements.
