The Associate QHSES Specialist will support reliable operation and administration of enterprise QHSES systems used across projects and functional teams. The position combines system support, user training, data management, KPI analysis, audit preparation, and controlled procedure administration. The role helps ensure that project profiles, approval structures, historical data, procedures, and reporting information remain current and dependable. Accurate system administration and responsive user support will improve visibility of QHSES performance and help teams apply consistent management system requirements throughout EPC construction and fabrication operations.
Key Responsibilities
- Support day-to-day administration and reliability of QHSES enterprise systems.
- Promote consistent QHSES practices and support strategic assurance initiatives across project and functional teams.
- Deliver routine system training to end users in a Super Administrator or Subject Matter Expert capacity.
- Explain system workflows, reporting requirements, and record management procedures to users.
- Monitor system performance and help resolve routine functional or data-related issues.
- Escalate complex system problems to appropriate QHSES, IT, or technical support personnel.
- Assist project teams with implementation and effective use of QHSES systems.
- Support configuration of project profiles, system records, metrics, and reporting structures.
- Maintain project information and update correlated records when designated approvers or responsible personnel change.
- Verify that system records remain aligned with current organizational and project structures.
- Review application specifications and confirm that planned functionality meets operational requirements.
- Gather feedback from system users regarding functionality, workflows, and document requirements.
- Compare current procedures with system capabilities and identify areas requiring alignment.
- Support improvements that simplify user interaction and strengthen data consistency.
- Assist IT and QHSES teams with transfer of legacy data from previous management systems.
- Review imported information for completeness and accuracy.
- Support front-end and back-end record modifications where authorized.
- Help maintain data integrity throughout system migrations, updates, and administrative changes.
- Prepare and analyze information for monthly QHSES KPI reporting.
- Support preparation of performance summaries for QHSES Directors and other management stakeholders.
- Review reported metrics for completeness and investigate obvious data inconsistencies.
- Assist with development of graphs, tables, or summaries that improve understanding of QHSES performance.
- Prioritize support requests by interpreting user needs, system impact, and required completion dates.
- Maintain clear action tracking for outstanding system and documentation requirements.
- Support internal and external audits in accordance with approved audit plans.
- Collect system records, procedures, reports, and supporting evidence required by auditors.
- Assist in tracking findings and required follow-up actions.
- Update existing QHSES procedures when processes or system functionality changes.
- Assist with preparation of new procedures and supporting documentation.
- Upload approved procedures into UNIFI within required timelines.
- Verify that current approved documents are accessible through appropriate management system platforms.
- Help prevent obsolete or superseded information from remaining in operational use.
- Maintain awareness of QHSES management system requirements relevant to assigned responsibilities.
- Communicate with users and stakeholders to resolve routine system administration issues.
- Provide responsive customer support to project teams using enterprise QHSES applications.
- Participate in meetings concerning system implementation, user requirements, reporting, and process improvement.
- Contribute ideas that improve system usability, reliability, and reporting efficiency.
- Maintain confidentiality and appropriate controls when handling QHSES and project information.
- Support other assurance and systems activities appropriate to the role.
Ideal Profile
The position is suited to a QHSES professional with practical enterprise system experience and a strong interest in combining assurance, data administration, audits, and user support.
- Bachelor 's degree in a relevant discipline is preferred.
- Minimum 3 years of relevant experience within EPC construction, fabrication, or a comparable industry environment.
- Current Lead Auditor qualification for ISO 9001, ISO 14001, or ISO 45001.
- Practical understanding of QHSES management systems and assurance requirements.
- Experience administering QHSES or comparable enterprise systems.
- Knowledge of system design, development, testing, integration, and implementation processes.
- Experience supporting data imports or migrations between management systems.
- Familiarity with front-end and back-end record modifications is advantageous.
- Ability to coordinate effectively with IT personnel on system-related requirements.
- Experience supporting system users and troubleshooting routine issues.
- Understanding of KPI reporting and management performance metrics.
- Familiarity with internal and external audit processes.
- Experience updating procedures and controlled management system documentation.
- Knowledge of document upload and administration processes within platforms such as UNIFI is beneficial.
- Ability to work effectively as an individual contributor and take leadership responsibility when required.
