Role Context
The QHSES Assurance Specialist - EPC supports the reliability of assurance processes, digital QHSES systems, audit readiness, KPI reporting, and quality control across project and business activities. The role helps project teams use QHSES systems correctly, maintain accurate records, review user requirements, support data imports, and update controlled procedures. By combining system administration with assurance discipline, this position improves reporting accuracy, strengthens compliance visibility, supports procurement package QA, and helps project teams maintain consistent quality and safety standards across EPC construction and fabrication work.
Key Responsibilities
- Support QHSES strategic thinking and practical assurance activities across project and business teams.
- Perform routine QHSES enterprise system reliability training for end users as an SME super administrator.
- Monitor QHSES system effectiveness and assist users in resolving standard system-related problems.
- Support project teams with QHSES system implementation, metrics, reporting, records, and system functionality.
- Review application specifications to confirm alignment with product requirements and user expectations.
- Gather user feedback to ensure company procedures, controlled documents, and system functionality remain aligned.
- Process legacy data imports from previous management systems into current QHSES systems with accuracy and traceability.
- Maintain project profiles, approval flows, correlated records, and system updates when key approvers or responsibilities change.
- Assist in preparing and analyzing monthly QHSES KPI reports for directors and senior stakeholders.
- Prioritize tasks by interpreting end-user needs, assessing requirements, and ensuring timely completion of assigned actions.
- Assist with internal and external audits in line with the approved audit plan.
- Update established procedures, support preparation of new procedures, and upload approved documents into UNIFI on time.
- Support QA activities on procurement packages, including electrical, instrumentation, and mechanical packages where required.
- Work with IT teams on data imports, system administration, record modifications, and front-end or back-end QHSES system updates.
- Troubleshoot routine QHSES assurance system issues and escalate more complex matters when required.
- Maintain accurate documentation, audit support files, KPI records, system change logs, and procedure upload records.
- Provide customer-focused support to project users, assurance teams, and internal stakeholders.
- Help maintain key QHSES competencies by sharing system knowledge, assurance practices, and procedural guidance with colleagues.
- Contribute to continuous improvement by identifying recurring system gaps, reporting issues, and documentation weaknesses.
Ideal Profile
- The ideal candidate should have practical QHSES assurance experience in EPC construction, fabrication, procurement quality, or project delivery environments.
- The role requires someone who understands assurance systems, audits, procedure control, user support, and data management while being comfortable working with both technical teams and system users.
- Bachelor's degree in a relevant field is preferred.
- Current lead auditor qualification for 9001, 14001, or 45001.
- 3 years of relevant industry experience related to EPC construction and fabrication.
- Knowledge of system design, development, testing, integration, implementation, and system support.
- Experience administering QHSES systems and assisting IT with data imports, user records, and system modifications.
- Understanding of QHSES assurance procedures, quality systems, KPI reporting, audits, and controlled documentation.
- Exposure to QA activities for procurement packages, especially electrical, instrumentation, and mechanical packages, is an advantage.
- Ability to work as a team member and act as a team leader when required.
- Strong communication and presentation skills, both written and spoken.
- Excellent customer service approach with the ability to support users and engage stakeholders professionally.
- Strong problem-solving and troubleshooting ability with mature judgment.
- Computer proficiency in Microsoft Word, PowerPoint, Excel, and related business applications.
- Organized, accurate, and able to manage task priorities in a project-focused environment.
