Role Context
The Associate QHSES Assurance Specialist – Systems helps strengthen QHSES performance by supporting the systems, records, reporting tools, procedures, and assurance processes used across EPC construction and fabrication operations. The role ensures that end users can work effectively within QHSES enterprise platforms, that project records remain accurate, and that audit, KPI, and compliance requirements are supported with reliable data. By improving system usage, documentation quality, and procedural alignment, this position contributes to safer operations, stronger governance, and better decision-making for project and leadership teams.
Key Responsibilities
- Support QHSES strategic initiatives by helping teams use assurance systems, reporting processes, and compliance tools correctly.
- Deliver routine QHSES system reliability training for end users, including support as an SME Super Administrator.
- Monitor the effectiveness of the QHSES Enterprise System and assist in resolving routine system issues, user concerns, and standard operational problems.
- Help project teams with QHSES system implementation, metric tracking, report preparation, and system-based record management.
- Review application specifications and system requirements to confirm alignment with product expectations and business needs.
- Gather feedback from users to ensure company documents, procedures, and workflows remain aligned with current QHSES system functionality.
- Process legacy data imports from previous management systems into current QHSES systems while supporting data accuracy and record continuity.
- Maintain project profiles, approver records, and correlated system data when key project approvers or stakeholders change.
- Assist in preparing and analyzing monthly QHSES KPI reports for directors and senior leadership teams.
- Prioritize tasks by interpreting end-user needs, assessing system requirements, and supporting timely completion of QHSES assurance activities.
- Assist with internal and external audits according to approved audit plans, schedules, and procedural requirements.
- Update established procedures, support the preparation of new procedures, and upload controlled documents into UNIFI within agreed timelines.
- Work with IT teams where required on data imports, system updates, front-end record corrections, and back-end record modifications.
- Support troubleshooting activities related to QHSES applications, user access, system records, report outputs, and documentation workflows.
- Maintain strong stakeholder communication with project teams, corporate QHSES users, IT support, auditors, and leadership representatives.
- Promote accurate documentation, reliable system usage, and continuous improvement across QHSES assurance processes.
Ideal Profile
- Bachelor's degree in a relevant field is preferred.
- Current Lead Auditor qualification for ISO 9001, ISO 14001, or ISO 45001 is required.
- Minimum 3 years of relevant experience in an EPC construction, fabrication, or related industrial environment.
- Practical knowledge of QHSES assurance, system administration, document control, audit support, and KPI reporting.
- Experience with QHSES systems, including system design support, development, testing, integration, implementation, and user support.
- Ability to assist IT teams with data imports, front-end system updates, back-end record modifications, and legacy data migration.
- Understanding of quality, health, safety, environment, and security procedures within construction, fabrication, or energy project settings.
- Able to work effectively as a team member and step into a team leadership role when required.
- Strong communication and presentation skills with the ability to explain system issues, reports, procedures, and assurance requirements clearly.
- Excellent customer service mindset with strong stakeholder engagement and user support capability.
- Strong problem-solving and troubleshooting skills with the maturity to assess issues and recommend practical solutions.
- Good computer skills, including Microsoft Word, PowerPoint, Excel, and related office productivity tools.
- Ability to manage multiple user requests, system tasks, audit support activities, and reporting deadlines with accuracy and consistency.
