You will coordinate travel, visas, accommodation, ground transport, riders, soundchecks, and on-site hospitality, ensuring a seamless guest experience. Strong organization and communication are essential.

Qualifications

• Bachelor's degree in Hospitality Management, Event Management, Business Administration, or related field.
• 3–5 years in artist liaison, talent management, or event coordination.
• Experience in hospitality, nightlife, F&B, or entertainment is essential.
• Strong network with agencies or artist management is advantageous.

We are seeking a highly organized and personable Artists Liaison Officer to join our growing team in Dubai on a seasonal basis. The ideal candidate will serve as the primary point of contact between Addmind's venues and the artists, performers, DJs, and entertainers who bring our nightlife and lifestyle destinations to life. This position requires exceptional interpersonal skills, meticulous attention to detail, and the ability to manage multiple bookings and relationships across a fast-paced, high-profile entertainment calendar.

Key Responsibilities

Artist Coordination & Booking Support

• Serve as the main point of contact for artists, performers, DJs, and entertainment acts booked across Addmind venues.
• Coordinate booking confirmations, contracts, and performance schedules with artists, agents, and management teams.
• Liaise with talent agencies and management companies to finalize logistics and contractual requirements.
• Track artist calendars and performance schedules to avoid conflicts and ensure timely confirmations.

Travel & Logistics Management

• Arrange and coordinate artist travel, visas, accommodation, and ground transportation.
• Ensure hospitality riders (technical, catering, and accommodation requirements) are fulfilled accurately and on time.
• Coordinate soundcheck schedules, load-in/load-out times, and green room arrangements with venue operations teams.
• Act as the on-ground point of contact for artists during their stay, ensuring a seamless and positive experience.

Stakeholder Communication

• Organize and coordinate pre-event meetings, briefings, and run-of-show discussions with artists and internal teams.
• Prepare artist itineraries, briefing documents, and hospitality schedules.
• Provide regular updates to venue management, marketing, and operations teams on artist status and requirements.
• Facilitate clear communication between artists, agents, venue teams, and vendors.

Documentation & Reporting

• Maintain accurate records of artist contracts, riders, and correspondence.
• Prepare post-event reports summarizing artist performance logistics, feedback, and any issues encountered.
• Archive artist documentation in accordance with company standards.
• Ensure all documentation is compliant, up to date, and easily accessible.
• Identify potential risks related to artist logistics, scheduling conflicts, or rider compliance.
• Maintain an issue log for artist-related matters and elevate concerns proactively.
• Support the development of contingency plans for last-minute cancellations, delays, or changes.
• Follow up on action items to ensure timely resolution of artist-related issues.
• Provide day-to-day administrative support related to artist bookings and engagements.
• Track artist payments, deposits, invoices, and fee schedules in coordination with finance.
• Assist with procurement of artist-related services (transport, catering, production needs).
• Manage scheduling, correspondence, and artist-related data entry.

Requirements

• Bachelor's Degree in Hospitality Management, Event Management, Business Administration, or a related field.
• Minimum 3-5 years of experience in artist liaison, talent management, event coordination, or a similar role.
• Previous experience within the hospitality, nightlife, F&B, or entertainment industry is essential.
• Strong network or familiarity with talent agencies, artist management companies, and the regional entertainment scene is an advantage.
• Excellent organizational and multitasking skills with the ability to manage multiple artist bookings simultaneously.
• Strong financial tracking capabilities related to artist fees and hospitality budgets.
• Excellent verbal and written communication skills, with a professional and personable manner when engaging with talent.
• Flexibility to work evenings, weekends, and late nights in line with venue and event schedules.
• Strong problem-solving skills and ability to take prompt action when challenges arise.
• High attention to detail and commitment to accuracy.
• Ability to work collaboratively across cross-functional teams in a fast-paced, high-energy environment.
