Qualifications

• Proven administrative experience in a fleet/transport setting is preferred.
• Strong organizational skills and attention to detail are essential.
• Proficiency with Microsoft Word and Excel for record-keeping and reporting.
• Excellent communication and interpersonal skills are required.
• Ability to multitask and prioritize in a dynamic environment.
• Knowledge of fleet maintenance processes and fleet management software is advantageous.
• Reliability, punctuality and a strong work ethic are essential.
• High school diploma or equivalent; further admin/logistics training is a plus.

Responsibilities

• Maintain accurate records for all fleet vehicles including registration, licensing, insurance, and service history.
• Schedule and coordinate routine maintenance and repairs with mechanics and service providers.
• Process fleet invoices, expense claims and driver reimbursements.
• Ensure compliance with legal/regulatory requirements for fleet operation, including roadworthy certifications.
• Assist with fuel card programs and monitoring fuel consumption.
• Prepare reports on fleet utilization and maintenance costs for management.
• Manage vehicle accident reporting and claims processes.
• Communicate fleet policies and documentation to drivers and onboarding.
