Job summary

Staff Unlimited Recruitment is assisting a leading logistics/maritime organisation in Cape Town to hire a Sailing Schedule Administrator on-site in the Western Cape. You will monitor vessel itineraries, maintain schedules, manage SI cut-off times, and support shipping coordination.

This role emphasizes accuracy, timeliness, and cross-functional communication. Ideal candidates have at least 3 years in logistics or maritime ops, strong Excel and data tools, and excellent organizational skills.

Qualifications

  • Minimum of 3 years’ experience in a logistics, shipping, or maritime environment.
  • Proficiency in Excel, R, and data management tools.
  • Strong communication and relationship-building skills.
  • Excellent time management and organizational abilities.

Responsibilities

  • Monitor, adjust, and accurately capture vessel itineraries in tracking systems.
  • Maintain up-to-date vessel schedules reflecting real-time timelines.
  • Review/update Shipping Instruction cut-off times and deadlines per requirements.
  • Track shipments and containers throughout their transit lifecycle.
  • Audit systems and reports to detect and correct data errors.
  • Identify operational issues and communicate escalation points with providers.
  • Communicate clearly with internal teams and external service providers.
  • Provide ad-hoc administrative support to senior operational teammates.

Overview

Our client, a leading organization within the logistics, shipping, and maritime industries, is seeking a detail-oriented Sailing Schedule Administrator to join their dynamic team in the Western Cape. This role offers a unique opportunity to contribute to the efficiency and accuracy of vessel scheduling and shipping coordination, ensuring seamless maritime activities across various stakeholders.

Responsibilities
  • Monitor, adjust, and accurately capture stack information and vessel itineraries within operational tracking systems.
  • Maintain up-to-date vessel schedules that reflect real-time maritime logistics timelines.
  • Review, manage, and update Shipping Instruction (SI) cut-off times and deadlines strictly in accordance with operational requirements.
  • Continuously track and monitor shipments and individual containers throughout their transit lifecycle.
  • Conduct regular system and report audits to proactively detect, isolate, and correct data errors.
  • Identify operational discrepancies and communicate escalation points or service delivery issues with relevant service providers and shipping lines.
  • Build and maintain strong working relationships with internal teams and external service providers through clear and effective communication.
  • Provide ad-hoc administrative support to senior operational teammates to enhance departmental workflows.
Requirements
  • Minimum of 3 years’ experience in a logistics, shipping, or maritime environment.
  • Proficiency in Microsoft Excel, R, and familiarity with C and data management tools.
  • Strong communication and relationship-building skills.
  • Excellent time management and organizational abilities.
Nice to Have
  • Experience with operational tracking systems used in maritime logistics.
  • Knowledge of shipping schedules, cut-off times, and transit processes.
