Job summary

Headhunters seeks a diligent operations professional in Gauteng to own tenant applications, vetting and lease administration. You will manage leads, letting agents, viewings and a dedicated WhatsApp service for tenants, ensuring accurate pricing, occupancy records and timely communications.

You will coordinate with building managers, manage staff and suppliers, and drive process improvements across CRM and office workflows to support a growing portfolio.

Qualifications

• Matric and strong clerical ability.
• Minimum three years in operations, admin or office management with end-to-end ownership.
• Property management/letting experience is advantageous but not required.
• Experience with tenant vetting, credit checks and lease admin helps.
• Excellent numerical accuracy and financial reconciliation skills.
• Strong organisational and multitasking abilities.

Responsibilities

• Own applications pipeline from intake to tenancy move-in, including vetting and lease signing.
• Make vetting decisions using affordability and credit rules, manage special cases.
• Prevent double-bookings and ensure accurate unit status and pricing.
• Communicate with applicants and agents via WhatsApp and deal chat.
• Run lead flow, manage letting agents, viewings and related logistics.
• Own Tenant WhatsApp service and triage inquiries to the right team.
• Update knowledge base when policies change and ensure compliant communications.
• Oversee tenancy changes, notices and occupancies; keep records accurate.
• Manage monthly loading, pricing alignment and MRI reconciliations.
• Support MD with office operations, suppliers, staff and project work.
