Job summary

Select Motor Recruitment is seeking an experienced Stock Controller for a Johannesburg dealership. You will manage new and used vehicle stock, process stock transactions, invoicing, registrations, and reporting to ensure accuracy and regulatory compliance.

Responsibilities include maintaining stock records, aging, reconciliations, and liaising with sales, finance, and suppliers. Requires Grade 12, 2–5 years in automotive stock control, and strong Excel/DMS skills.

Qualifications

• Grade 12 (Matric) is required.
• Minimum 2-5 years' experience as a Vehicle Stock Controller within a franchised motor dealership.
• Proficiency in Microsoft Excel and dealership management systems (DMS).
• Experience with systems such as DMS, Evolve, or similar.
• Motor Industry experience essential.

Responsibilities

• Maintain accurate records of all new and used vehicle stock.
• Capture vehicle purchases, transfers, and sales transactions in the dealership management system.
• Monitor stock aging and provide regular stock reports to management.
• Ensure all vehicle information (VINs, engine numbers, specs) are recorded.
• Process vehicle invoices and manage registration/licensing administration where required.
• Perform regular stock reconciliations and investigate discrepancies.
• Prepare stock reports for management and finance, assist with stock journals and month-end processes.
• Monitor stock values and report variances; support audits with documentation.

Purpose Of The Job:

Our client is looking for an experienced Stock Controller to join the team. The Stock Controller is responsible for the accurate administration, control, and management of new and used vehicle inventory within the dealership. The role ensures that all vehicle stock transactions are processed accurately, stock records are maintained, and vehicles are invoiced, registered, and reported in accordance with dealership, manufacturer, and regulatory requirements. The Stock Controller plays a critical role in supporting vehicle sales operations, financial accuracy, and inventory management.

Vehicle Stock Management

• Maintain accurate records of all new and used vehicle stock
• Capture vehicle purchases, transfers, and sales transactions on the dealership management system
• Monitor stock aging and provide regular stock reports to management
• Ensure all vehicle information, including VIN numbers, engine numbers, and specifications, is accurately recorded
• Track vehicle arrivals, stock allocations, and dealer transfers

Vehicle Invoicing & Administration

• Prepare and process vehicle invoices accurately and timeously
• Ensure all supporting documentation is complete before vehicle invoicing
• Manage vehicle registration and licensing administration where required
• Process vehicle rebates, incentives, and manufacturer claims
• Ensure compliance with manufacturer and dealership invoicing procedures

Stock Reconciliations

• Perform regular stock reconciliations between physical stock and system records
• Investigate and resolve stock discrepancies promptly
  Financial & Reporting Support
  • Prepare stock reports for management, accountants, and financial departments
  • Assist with vehicle stock journals and month-end accounting processes
  • Monitor stock values and report variances or irregularities
  • Support audits by providing stock documentation and reconciliations
  Compliance & Documentation
  • Maintain complete and accurate vehicle files
  • Ensure compliance with manufacturer, dealership, and legal requirements
  • Monitor vehicle documentation, including registration papers, proof of ownership, and licensing records
  • Ensure all transactions are processed according to internal control procedures
  Stakeholder Liaison
  • Liaise with sales executives, sales managers, finance and insurance departments, manufacturers, and financial institutions
  • Coordinate with vehicle suppliers and transport providers regarding stock deliveries
  • Assist customers and internal stakeholders with stock-related queries
  Minimum Requirements:
  • Grade 12 (Matric)
  • Certificate or Diploma in Administration, Accounting, Finance, or a related field in the automotive industry, will be advantageous
  • Minimum 2-5 years' experience as a Vehicle Stock Controller within a franchised motor dealership
  • Proficiency in Microsoft Excel and dealership management systems
