Purpose of the Role:
The Operations Supervisor plays a central role in ensuring that all client’s standard operational requirements are met in respect of the placement of assignees on site and the supervision of the assignees at various clients. The incumbent will support branch operations, coordinate closely with the Site and reporting to management.
Responsibilities:
Operational & Shift Supervision:
- Provide operational supervision and support during the assigned night shift at the DHL VW Kariega operation.
- Monitor planned staffing against actual attendance and immediately identify shortages, late arrivals and non-attendance.
- Ensure shift requirements, employee allocations and operational instructions are communicated and followed.
- Complete the operational debrief for each shift and accurately record supervisor comments, incidents, shortages and matters requiring follow-up.
- Ensure a structured handover to the day team so that outstanding operational matters can be actioned without delay.
- Escalate operational risks, unresolved shortages, employee concerns and client-impacting matters to management.
Orders, Q Forms & Operational Administration:
- Receive, record and track client staffing orders and operational requirements.
- Maintain accurate Q Form and order information and ensure outstanding documentation is followed up and reported.
- Work from the approved shared drive and operational trackers to ensure information remains accessible to the authorised management team.
- Ensure operational records are updated accurately and timeously and are not retained outside approved company systems.
- Maintain daily operational information required for reporting and management oversight.
Employee Supervision & Attendance Management:
- Supervise assignees on shift and ensure compliance with workplace rules, client requirements and our internalprocedures.
- Monitor employee attendance, punctuality, conduct and adherence to scheduled shifts.
- Record employees who fail to report for planned duty and ensure such matters are escalated for the appropriate corrective action.
- Engage employees professionally on operational matters and refer grievances, disputes or matters outside delegated authority to management.
- Support regular employee engagements, toolbox talks and site meetings as required.
Recruitment Support:
- Support recruitment during available operational periods by reviewing CVs uploaded through the approved recruitment channels.
- Conduct an initial screening of CVs against the operational requirements for available positions.
- Place potentially suitable CVs in the designated shared folder for further assessment and processing by the recruitment and day team.
- Assist with LexisNexis verification checks and other recruitment administration when instructed.
- Support the maintenance of an adequate available pool for operational requirements.
- The Operations Supervisor provides initial screening support only and does not independently approve candidates for placement.
PPE, Compliance & Site Readiness:
- Monitor employee compliance with required PPE and site access requirements.
- Report PPE shortages, non-compliance and replacement requirements to the responsible management team.
- Assist with PPE issuing and control where required.
- Ensure employees reporting for duty comply with applicable site, safety, induction and operational requirements.
- Immediately escalates any safety or compliance concern that may affect an employee, the client or the company.
Disciplinary & IR Support:
- Identify and document misconduct, absenteeism, non-compliance and other employee-related concerns arising during the shift.
- Provide accurate supporting information and evidence to management for disciplinary action where required.
- Issue authorised counselling, warnings or documentation when instructed and within delegated authority.
- Support investigations, disciplinary processes and employee engagements when required.
- Escalate complex disciplinary matters, grievances and workplace disputes to the Regional Manager and IR team.
Client Communication & Professional Conduct
- Maintain professional communication with authorised client representatives at all times.
- Use approved company and client communication channels for operational communication.
- Do not engage clients in a personal capacity or through unauthorised private communication regarding the company’s operational matters.
- Ensure client requests, concerns and instructions are accurately recorded and escalated through the appropriate management channels.
- Represent the company professionally and maintain appropriate boundaries with client representatives and assignees.
Reporting & Accountability:
- Provide accurate daily and shift reporting to line management in the required format.
- Ensure all information recorded on operational trackers, debriefs and shared documents is factual, current and complete.
- Follow up on actions allocated during the shift and clearly identify outstanding items during handover.
- Work within the authority of the Operations Supervisor position and escalating decisions requiring Regional Manager or senior management approval.
- Perform any other reasonable operational duties as instructed by management.

Experience and Qualifications:
- Grade 12.
- Minimum of 2 years’ experience as an operations supervisor or similar role.
- Basic understanding of the automotive sector and operational environment advantageous.
- Proficient in Microsoft Office (i.e.: Word, Excel, Outlook) and reporting systems.
- Basic Industrial Relations knowledge advantageous.
