Job description

An exciting career opportunity exists at Medipost Pharmacy for an Oncology Manager, reporting to the Operations Manager. This position is based in Gezina, Pretoria. The purpose of this position is to provide strategic, operational and clinical leadership for the Oncology Department, ensuring delivery of safe, compliant, efficient and patient-cantered pharmaceutical services.The role ensures that the employees understand and consistently apply the principles of Good Pharmacy Practice (GPP), relevant pharmacy legislation, professional standards and company policies. The role is accountable for managing people, performance, quality, service delivery, stock, specialized oncology operations and stakeholder relationships while ensuring optimal patient care, regulatory compliance and achievement of business objectives.

Key responsibilities:
2.1.1. Clinical Governance, Patient Care and Regulatory Compliance
  • Ensure that all employees understand and apply appropriate patient care principles in accordance with Good Pharmacy Practice (GPP).
  • Ensure ongoing compliance with applicable pharmacy legislation, regulations and professional standards.
  • Facilitate ongoing training and awareness of:
    • Pharmacy legislation and regulations.
    • Good Pharmacy Practice (GPP).
    • Pharmacist Code of Conduct.
    • Relevant company policies and procedures.
  • Ensure compliance with the Protection of Personal Information Act (POPIA) and the appropriate handling and protection of patient information.
  • Manage and support clinical enquiries received from Oncology staff members
  • Provide clinical guidance, coaching and support to Oncology staff members.
  • Identify clinical and operational training gaps and implement appropriate interventions.
  • Ensure appropriate management of specialised oncology pharmacy processes, including chemotherapy-related activities.
  • Manage oncology-specific training requirements across Order Processing, Production and Procurement teams.
  • Conduct and support oncology practice visits to promote quality, compliance and effective service delivery.
  • Attend relevant oncology conferences, symposiums and professional forums to maintain current knowledge and identify opportunities for service improvement.
2.1.2. Operational Management and Service Delivery
  • Manage the day-to-day operations of the Oncology Department.
  • Ensure the achievement of daily departmental output and productivity targets.
  • Monitor individual employee output and performance against agreed expectations.
  • Analyse daily BIS reporting and implement corrective actions where required.
  • Monitor mailbox activities, status rejections and Action Diaries to ensure timely resolution of workload.
  • Monitor and manage the Out of WIP Report, ST71/72 report and other relevant operational reports.
  • Prioritise urgent parcels and ensure appropriate escalation and follow-up.
  • Monitor and manage Eco-Time reporting and compliance.
  • Monitor horizontal reporting on a weekly and monthly basis to identify operational trends, risks and improvement opportunities.
  • Ensure effective management of Service Level Agreements (SLAs) and implement corrective action where performance is below target.
  • Ensure effective planning and coordination of new business and new practice take‑ons.
  • Manage the operational integration of new practices and ensure readiness across relevant departments.
  • Drive departmental performance in line with organisational targets and key performance indicators.
  • Manage individual and team productivity against agreed output expectations.
  • Analyse performance trends and implement interventions to improve productivity and service delivery.
  • Ensure alignment between workforce capacity, workload and output requirements.
  • Ensure appropriate departmental housekeeping and maintenance of a professional working environment.
2.1.3. Quality Management, SOPs and Continuous Improvement
  • Review, update and implement Standard Operating Procedures (SOPs).
  • Ensure that employees are appropriately trained on new and revised SOPs.
  • Identify operational, clinical and quality improvement opportunities.
  • Implement corrective and preventative actions to address identified risks and gaps.
  • Monitor recurring errors, rejections and operational inefficiencies and implement improvement initiatives.
  • Identify MML practice opportunities and drive initiatives to improve performance.
  • Update and maintain MML rankings
  • Ensure that the Disaster Recovery Plan is reviewed and updated as required.
  • Ensure departmental preparedness for operational disruptions and system failures.
2.1.4. People Management, Performance and Employee Development
  • Provide effective leadership, direction and support to employees within the Oncology function.
  • Conduct bi-annual KPA/KPI performance discussions and performance evaluations.
  • Manage performance concerns and apply appropriate performance improvement interventions.
  • Identify and coach high-potential employees to support succession planning and employee development.
  • Conduct coaching, mentoring and training to improve employee competence and performance.
  • Facilitate appropriate IR conversations and provide training and guidance on employee relations matters.
  • Participate in recruitment activities, including:
    • Following up on vacancies with the Operations Manager.
    • Supporting recruitment processes.
    • Conducting interviews and candidate assessments.
  • Manage employee leave through ESS while ensuring adequate operational capacity and output compliance.
  • Drive employee engagement through appropriate Rewards and Recognition initiatives.
  • Promote a culture of accountability, continuous learning, teamwork and high performance.
2.1.5. Oncology Service and Specialized Practice Management
  • Provide leadership and oversight of specialised oncology pharmacy services.
  • Manage pharmacist small groups and ensure effective clinical and operational performance.
  • Oversee oncology practice engagements and maintain effective relationships with contracted and affiliated practices.
  • Coordinate oncology-specific operational requirements across Order Processing, Production and Procurement.
  • Manage locum requirements and bookings for chemotherapy mixing units at Medipost and contracted practices.
  • Ensure appropriate staffing and operational continuity for off‑site and specialised oncology services.
  • Manage off‑site employees and ensure consistent performance, communication and compliance.
  • Identify opportunities to improve oncology pharmacy practices, service delivery and patient experience.
2.1.6. Stock, Fridge and Specialized Product Management
  • Support the efficient management of oncology and specialised pharmaceutical stock.
  • Monitor and assist with the management of short‑dated stock.
  • Identify and address out‑of‑stock risks.
  • Manage stock returns in accordance with approved processes.
  • Ensure that temperature excursions and cold‑chain risks are appropriately escalated and managed.
  • Promote effective stock management practices to minimise wastage and ensure continuity of patient treatment.
2.1.7. Stakeholder and Relationship Management
  • Establish and maintain effective relationships with internal and external stakeholders.
  • Manage engagements with oncology practices and other service providers.
  • Support and manage relationships with contracted practices.
  • Represent the department in relevant operational and stakeholder engagements.
QUALIFICATIONS
MINIMUM:
  • EXPERIENCE: 5 years of management experience
IDEAL:
  • Previous experience in a courier or retail pharmacy and Oncology medicines will be advantageous
