Job summary

KingsleyIrons Recruitment Services CC seeks an experienced Contracts Controller to manage Service, Repair and Maintenance contracts. You will handle day-to-day administration, costing, invoicing and reporting, working with customers, dealers, suppliers and internal teams.

The role requires workshop administration and job costing experience in the vehicle industry, with strong numerical and organizational skills, able to balance costs with service delivery under pressure.

Qualifications

• Diploma in Office Administration, Finance, Logistics, or related field.
• Advanced Diploma in Office Administration, Finance, Logistics, or related field advantageous.
• Minimum 2 years’ workshop administrative experience within the vehicle industry.
• Experience in workshop job costing.
• Experience within the commercial vehicle, truck, dealership, fleet maintenance or related automotive environment advantageous.
• Strong numerical, costing and administrative skills.
• Excellent organisational skills and attention to detail in a busy environment.
• Strong problem-solving and decision-making skills.
• Good business acumen and commercial awareness.
• Strong interpersonal, teamwork and stakeholder communication skills.

Responsibilities

• Draw up, communicate and manage the process flow for Service, Repair and Maintenance contracts.
• Maintain the complete masterfile of trucks covered under service and maintenance contracts.
• Manage operational customer requirements relating to service and maintenance contracts.
• Calculate contract extension costs and early termination penalties for customers.
• Oversee maintenance authorisations for service, repair and maintenance requests.
• Assist with technical queries and elevate enquiries to relevant stakeholders.
• Attend to Call Centre enquiries and referrals and provide standby support for customer requests.
• Coordinate service and maintenance requirements with internal and external stakeholders.
• Verify monthly Managed Maintenance billing and process invoices.
• Process dealer and supplier invoices and support debtors/creditors queries.
• Manage costing analysis and reporting of approved Cost Per Kilometre rates.
• Provide breakdown and dealer administration support and liaise with dealers/suppliers.
• Ensure breakdown and maintenance transactions are recorded accurately.
• Prepare service history analyses and maintenance contract expense reports.
• Complete month-end reporting on maintenance contract performance.
