Job summary

West Coast Personnel in South Africa (Wes-Kaap) is seeking an experienced Export Administrator to manage export orders, coordinate freight, and liaise with customers and production teams. The role emphasizes accuracy in documentation, invoicing, and delivery scheduling.

The ideal candidate has 3–5 years in export administration, supervisory experience, and strong data-capturing skills, with knowledge of sea/air freight and shipping documentation. Manufacturing exposure is a plus.

Qualifications

• Grade 12 / Matric is required.
• A certificate or diploma in Export Management/Logistics/Supply Chain/International Trade or Business Administration is advantageous.
• 3–5 years' experience in export administration or export order management.
• Experience supervising staff or coordinating a department.
• Experience arranging sea, airfreight and courier shipments.
• Experience with freight forwarders and shipping lines.
• Knowledge of export documentation, invoicing, order processing and stock control.
• Experience in a manufacturing environment is advantageous.
• Strong computer literacy and data-capturing skills.

Responsibilities

• Process export orders and ensure customer requirements are captured correctly.
• Communicate with customers about orders, pricing, delivery dates and shipment progress.
• Follow up on outstanding orders and customer requirements.
• Send order acknowledgements and confirmations to customers.
• Coordinate export packaging requirements including pallets and materials.
• Liaise with production and other departments to meet delivery deadlines.
• Monitor backorders and follow up for timely delivery.
• Arrange courier services, airfreight and sea freight.
• Request and compare freight quotations.
• Negotiate competitive rates with freight forwarders and shipping lines.
• Complete and submit export and shipping documentation.
• Manage invoicing, credits, transfers and related processes.
• Load and update contract pricing and customer forecasts.
• Submit product samples and pricing to customers.
• Liaise with Quality Control regarding customer complaints and provide feedback.
• Identify errors on Bills of Materials and request amendments.
• Assist with stock control, stock counts and data capturing.
• Monitor staff timesheets, leave and daily performance targets.
• Allocate work and provide instructions to departmental staff.
• Maintain departmental housekeeping and health and safety standards.
