Where will the successful candidate fit in?
We are looking for an energetic, highly organised and people-focused Front Office & Employee Experience Coordinator to become the heartbeat of our office environment.
The successful candidate will play a key role in creating a welcoming, engaging and vibrant workplace experience for employees, visitors and stakeholders across the Group.
Reporting directly to the HR Manager, the successful incumbent will be responsible for coordinating front-of-house activities, employee engagement initiatives, internal events, staff communications and general office experience initiatives across the Group, including RAMP, RSAWEB and Octotel.
The role requires someone who genuinely enjoys working with people, has a natural flair for creating memorable employee experiences and is comfortable taking an idea from concept through to execution.
From organising desk drops and themed employee celebrations to coordinating Wellness Days, staff events, Vibe Tribe activities and CEO requests, this individual will ensure that the office remains an engaging, welcoming and well-presented environment.

Key Responsibilities:
1. Employee Engagement & Office Culture
Take ownership of the planning and coordination of employee engagement initiatives across RAMP, RSAWEB and Octotel.
Responsibilities will include:
- Planning and coordinating employee engagement initiatives throughout the year.
- Creating and coordinating themed office activations and celebrations.
- Coordinating special occasions and campaigns to celebrate key calendar dates such as Wellness Day, Valentines Day, Mothers Day, Heritage Day, Women’s Day, Movember and more!
- Planning and coordinating creative desk drops and employee giveaways.
- Supporting birthday and employee milestone celebrations where applicable.
- Developing new and creative ideas to improve employee engagement and workplace culture.
- Working closely with HR and internal stakeholders to ensure engagement initiatives align with the Group's culture and employee experience strategy.
- Supporting and coordinating Vibe Tribe initiatives across all Group entities.
- Encouraging participation and creating an inclusive and positive workplace atmosphere.
2. Internal Events & Staff Functions
Plan, coordinate and execute internal employee events from concept through to completion.
This includes:
- Coordinating staff events from initial concept and planning through to implementation.
- Developing event concepts and creative themes.
- Managing event logistics and timelines.
- Coordinating venues, suppliers and internal stakeholders.
- Managing invitations and staff communications.
- Coordinating catering, décor, entertainment and event requirements where applicable.
- Managing budgets and obtaining quotations where required.
- Ensuring events are professionally executed and aligned with the Group's culture and brand.
3. CEO, Executive & Management Support
Provide coordination support for ad hoc employee engagement and office-related initiatives requested by the CEO, Executive Team and Management.
Responsibilities may include:
- Coordinating special employee initiatives requested by the CEO or Executive Team.
- Assisting with the preparation and set-up of Executive and Management meetings.
- Ensuring meeting rooms are appropriately prepared and presentable.
- Coordinating refreshments, catering and other meeting requirements.
- Supporting internal events and initiatives involving Executive and Management teams.
- Managing ad hoc projects and requests as required by the HR Manager.
4. Internal Communication
Take responsibility for ensuring employee engagement and office-related communications are professional, engaging and clearly communicated.
Responsibilities include:
- Drafting and sending internal staff communications.
- Creating engaging announcements for employee events and initiatives.
- Posting relevant communications on Slack & MS Teams.
- Sending staff-wide emails where required.
- Creating engaging communication around employee activities and events.
- Ensuring communication is professional, clear and grammatically accurate.
- Working with HR and other stakeholders to communicate employee engagement initiatives effectively.
- The successful candidate must have an exceptional command of written English and the ability to communicate professionally with employees at all levels of the organisation.
5. Front Office & Reception Coordination
Ensure that the front-of-house environment remains welcoming, professional and organised.
Responsibilities include:
- Maintaining a professional and welcoming front-office environment.
- Ensuring reception and shared areas remain presentable.
- Assisting with visitors and general front-office requirements.
- Providing relief at reception during lunch breaks, tea breaks and periods of absence.
- Assisting with incoming deliveries and general front-office coordination.
- Supporting meeting room coordination where required.
6. Office Experience & Staff Welfare
Take ownership of initiatives that positively impact the day-to-day employee experience.
Responsibilities include:
- Coordinating the ordering and replenishment of office fruit and employee welfare items.
- Coordinating office-related procurement that supports employee wellbeing and workplace experience.
- Monitoring staff areas to ensure they remain welcoming and presentable.
- Identifying opportunities to improve the employee experience within the office.
- Coordinating Wellness Days and other employee wellbeing initiatives.
- Assisting HR with employee-focused initiatives and campaigns, including new starter induction
7. Office Walkabouts & Issue Identification
Act as the eyes and ears of the office environment.
The successful candidate will proactively walk through the office and identify issues that may impact employees or the overall workplace experience.
Examples may include visual checks of:
- Loose or exposed wires.
- Damaged desks or furniture.
- Untidy or unsafe areas.
- Issues within employee communal spaces.
- General office snags requiring attention.
- Please note: This role is not responsible for completing facilities or maintenance repairs.
- The Front Office & Employee Experience Coordinator will assist in identifying and reporting issues and log the appropriate tickets with the relevant Facilities, Maintenance or IT teams and follow up where necessary.
8. Office Coordination & Administration
Provide general office coordination and administrative support where required.
Responsibilities include:
- Coordinating office-related requests.
- Acting as a point of contact for general employee office queries.
- Processing office-related purchase orders where applicable.
- Obtaining quotations and coordinating suppliers for approved employee engagement initiatives.
- Assisting with the coordination of office supplies relevant to employee welfare and experience.
- Maintaining relevant records, trackers and spreadsheets.
- Assisting with reporting and administration using Microsoft Excel.
- Supporting the HR Manager with ad hoc projects and administrative requirements.
Requirements
- Completed Grade 12 or equivalent.
- A relevant tertiary qualification in Office Administration, Events Management, Marketing, Communications or a related field would be advantageous.
- Minimum of 5 years' relevant experience in a similar role.
- Previous experience in employee engagement, office coordination, events coordination, internal communications or front-of-house coordination.
- Demonstrated experience planning and executing internal staff events from concept through to implementation.
- Experience working in a fast-paced environment will be advantageous.
- Experience coordinating multiple projects and priorities simultaneously.
- A valid drivers license.
