Job summary

Kaiterra seeks an Executive Sales Assistant to act as the operational engine for the sales team, protecting AEs' time and owning the backend of the sales cycle. You will be the CRM expert, coordinate cross-functionally, and drive deal orchestration from quotes to handover to Customer Success.

The role blends sales operations, deal coordination and project management, ideal for someone who thrives on execution, process optimization, and enabling high-value deals to close smoothly.

Qualifications

• 3–5 years in a fast-paced sales support, deal desk or sales operations role.
• Experience in B2B SaaS, tech, or complex hardware/software with long sales cycles.
• Expert-level proficiency in a CRM (HubSpot preferred).
• Experience drafting complex proposals, SOWs or technical quotes.

Responsibilities

• Act as the primary project manager for open deals, coordinating with Legal, Finance and Logistics.
• Maintain 100% accurate deal information and log discovery notes within 24 hours of AE meetings.
• Manage client-facing logistics and build a library of reusable sales assets to accelerate the team.
