Job summary

DP World in Gauteng seeks an experienced Ocean Freight Controller to manage shipments from origin to destination in accordance with policy. You will open shipment files, obtain landside and transport rates, and ensure documentation is accurate and timely for customs clearance.

You will liaise with clients, carriers and offices, track shipments from indent to POD and invoice payment, and support the team with data entry in Cargowise while maintaining compliant processes and strong customer

Qualifications

• 3-5 years in Import Freight Services or related field.
• Proven ability to communicate clearly with clients and carriers.
• Solid understanding of Incoterms and customs requirements.

Responsibilities

• Carry out the opening of shipment files including allocating a shipment file number and obtaining landside and transport rates.
• Ensure all documentation is obtained and provided to the clearing department; notify the consignee and update status reports.
• Gather cargo information, fix rates with offices, and arrange shipping methods with clients and international offices.
• Monitor cargo arrival, ensure timely handover of documents, and maintain internal handover to Operations.
• Inform clients of shipment arrivals and support Controllers with Event Controls and data entry in Cargowise.
• Track shipments from indent to POD and invoice payment to ensure timely closeouts.
• Provide admin support to the Ocean Freight Import/Export team and meet client requirements.
• Obtain clearing instructions and verify MBL/HBL against invoices and packing lists before submission to Customs.
• Develop strong relationships with carriers, agents and clients to build trust and brand reputation.
• Ensure compliance with company regulations and proper accruals for revenue recognition.

Job description

Contribute to an effective service delivery through the handling, monitoring and control of shipments from start to finish within required specifications and in accordance with agreed policies and procedures.

Key Performance Areas (KPAs)

• Carry out the opening of shipment files including allocating a shipment file number, establish and obtain landside and transport rates, 3rd party Service provider costs and quality assure that the rates on the shipping line invoice are in accordance with ISL buying rates
• Ensure all documentation including confirmation of the shipment details are obtained and is provided to the clearing department and that the consignee has been appropriately notified and status report updated
• Gather cargo and origination information, buying and selling rates from the relevant office and finalise, agree and arrange the shipping method with the client and international offices.
• Facilitate a responsive turnaround time and internal handover of documents by monitoring cargo arrival against the bookings with the shipping lines and ensuring order / indent facilitation.
• Interact with clients to keep them informed by notifying them of the arrival of shipments and provide general assistance to Controllers in respect of updating Event Controls and capturing data in Cargowise.
• Assist in the timeous and efficient closeout related to shipments by tracking and tracing client shipments from indent, to P.O.D. and invoice payment
• Provide general administrative support and back up to the Ocean Freight Import/Export team in ensuring client requirements are met
• Obtain completed clearing instruction from the client and timeously advise the clearing agent/client to forward original bill of landing in order to handover file to entries for further processing. Controller must verify information on MBL/ HBL against the information on Invoice and Packing list prior to submission to Customs clearing team.
• Establish and develop strongly valued relationships with all carriers, agents and clients with the purpose of increasing confidence in and the reputation of the business driving brand awareness and loyalty
• Ensure that all activities in the area of responsibility are compliant with company specific regulations
• Ensure all accruals for the individual shipments are captured and accurate in the month of the revenue recognition of the file. Any demurrage and detention should be accrued for prior to actual invoices being received.
• Ensure all client queries / complaints are resolved timeously and in a manner which satisfies the query / complaint

Qualifications Required:

• Matric
• NCFF (NQF ¾), FIATA Diploma advantageous
• Logistics or similar degree/diploma advantageous
