Job summary

Responsibilities

• Assist Operations Manager with daily fleet and transport activities.
• Coordinate maintenance for all company trucks.
• Maintain records of services, repairs and maintenance.
• Renew vehicle licences before expiry dates.
• Monitor traffic fines and follow up as needed.
• Liaise with truck drivers regarding requirements and schedules.
• Ensure trucks are clean, presentable and ready for operation.
• Coordinate truck loading according to operational needs.
• Report mechanical concerns and maintenance requirements promptly.
• Maintain vehicle files, inspection records, and licensing documentation.
• Coordinate with Sales, Production, Despatch and Management on delivery requirements.
• Follow up on outstanding repairs, licences and fines.
• Prepare daily, weekly and monthly fleet reports.
• Escalate risks and vehicle-availability concerns to management immediately.

Job description

Assistant to the Operations Manager required in Johannesburg.

An established furniture manufacturing company requires a dependable and proactive Assistant to the Operations Manager to coordinate the administration, maintenance and daily readiness of the company's truck fleet.

The successful candidate will monitor vehicle licences, services, tyres, fines, cleanliness and loading activities while liaising with drivers and providing management with accurate reports and proactive operational updates.

Salary: R12 000 - R18 000 per month.

Minimum Requirements:

• Matric or an equivalent qualification
• A valid driver's licence would be advantageous
• Previous experience in fleet administration, transport coordination, logistics or operations
• Experience working with trucks, commercial vehicles or delivery fleets would be advantageous
• Basic understanding of vehicle maintenance, servicing and tyre requirements
• Knowledge of vehicle licensing, traffic fines and fleet documentation
• Experience dealing with truck drivers and coordinating vehicle activities
• Strong organisational, planning and coordination skills
• Proficiency in Microsoft Excel and relevant operational or fleet-management systems
• Ability to work independently and take ownership of responsibilities

Key Responsibilities:

• Assist the Operations Manager with daily fleet and transport activities

• Monitor traffic fines and coordinate the necessary follow-up and administration

• Conduct or coordinate regular checks of tyres, vehicle condition and service requirements
• Coordinate truck loading and ensure vehicles are loaded according to operational requirements
• Report mechanical concerns, vehicle damage and maintenance requirements promptly
• Maintain vehicle files, inspection records, service histories and licensing documentation
• Coordinate with Sales, Production, Despatch and Management regarding delivery requirements
• Follow up proactively on outstanding repairs, licences, fines and operational matters
• Prepare daily, weekly and monthly fleet and operational reports
• Escalate risks, delays and vehicle-availability concerns to management immediately
