Job summary

Gauteng Department in Gauteng seeks an administrative support officer for Patient Administration to register MHCUs on HIS/SAP and manage OPD visits and admissions. Qualifications

  • Grade 12 (Senior Certificate).
  • Proficiency in Microsoft Office applications (MS Word, MS Excel, MS PowerPoint, Outlook).
  • Knowledge of HIS/SAP will be an added advantage.
  • Knowledge of registration and admission process on HIS/SAP.
  • Knowledge of the Mental Health Care Act (MHCA 17/2002) documents.
  • Knowledge of billing classification.
  • Preparedness to work shifts (12-hour shifts), including weekends and public holidays, and overtime when requested.

Responsibilities

  • Provide administrative support to Patient Administration operations.
  • Register mental health care users (MHCUs) on HIS/SAP.
  • Register outpatient visits and appointments (OPD).
  • Admit MHCUs from referral hospitals and courts.
  • Ensure correct MHCA documents are submitted and MHCUs are properly classified upon admission.
  • Apply knowledge of UPFS tariff billing classifications.
  • Apply knowledge of downtime procedures.
  • Liaise with the Mental Health Review Board regarding MHCA documents
  • Prepare and submit periodical reports.
  • Continuously liaise with prosecutors on court admissions.
  • Handle reclassification administrative procedures for state patients to involuntary MHCUs.
  • Update all MHCU movements on SAP/HIS.
  • Manage abscondment, discharge, and leave of absence procedures.
  • Scan and file documents.
  • Safekeep MHCUs’ private funds, kit, and valuables.
  • Compile daily, weekly, and monthly reports on admissions and movements.
  • Perform any other duties reasonably delegated by the supervisor within the post scope.
