Job summary

Compass in the United States seeks a Workplace Operations & Facilities Lead to serve as a backbone for office environments. You will oversee facilities issues, manage vendor relationships, and streamline resources to keep our workspace world-class for employees and agents.

In this role you will lead budgeting, logistics, and property management communications, collaborate with cross-functional teams, travel up to 30%, and stay onsite during normal hours to ensure seamless operations.

• Strong problem-solving and analytical skills, enabling quick, practical solutions.
• Meticulous attention to detail and highly organized, especially for data and vendor management.
• Exceptional verbal and written communication skills for partnering with regional leaders and external property managers.

Responsibilities

• Resolve vendor repair and maintenance facilities issues.
• Communicate with Property Managers and Landlords for repairs.
• Manage utility accounts and quarterly reporting.
• Lead Keycard Inventory Management and security support (camera data, access control).
• Oversee copier/postage fleet leases, invoicing, lease obligations, and escalations.
• Ensure invoice compliance via PO creation and credit card reconciliation.
• Support maintenance of vendor data including fixed expenses and contracts.
• Approve high-value punchout orders beyond threshold.
• Collaborate with regional partners during onboarding and training.
• Facilitate vendor onboarding with Accounts Payable and billing disputes.
• Source vendors to ensure high-quality, cost-effective operations.
• Maintain up-to-date essential Workplace Operations resources.

As the Workplace Operations & Facilities Lead, you will be a critical backbone for our office environments, ensuring operational excellence and high-level support for our local teams and agents. You will oversee complex facilities issues, manage vendor relationships, and streamline the internal resources that allow our employees and customers to thrive. You are a process-oriented leader who excels at managing budgets, logistics, and property management communications to maintain a world-class workspace.

At Compass International Holdings You Will:

• Resolve vendor repair and maintenance facilities issues.
• Communicate directly with Property Managers and Landlords to facilitate necessary landlord-responsibility property repairs, as needed.
• Manage various utility accounts and conduct quarterly reporting.
• Lead Keycard Inventory Management and provide comprehensive security support, including camera data and access control systems management.
• Oversee copier/postage fleet lease services, including invoicing, end of lease obligations, expense reporting and resolving high-level escalations.
• Provide invoice compliance through supporting purchase order creation and credit card reconciliation.
• Support maintenance of vendor data including fixed expenses and vendor contracts
• Approve punchout orders exceeding company approval threshold
• Collaborate with cross-functional and regional partners through onboarding new office leaders by conducting meet-and-greets, establishing partnership workflows with National Workplace Operations, training regional leaders on workplace processes and resources.
• Facilitate vendor onboarding process in partnership with Accounts Payable and provide support with billing vendor disputes.
• Support vendor sourcing to ensure high-quality service and cost-effective office operations.
• Managing and maintaining up to date essential Workplace Operations resources.
• Maintain oversight and organization of documentation regarding regional nuances (including ordering, approvals & tracking) and team coverage docs.
• Maintain internal team resources such as meetings notes, macros, training materials and team SOPs.

What We’re Looking For:

• Proven experience in workplace operations, facilities management, or a high-level hospitality/operations role.
• Strong problem-solving and analytical skills, allowing you to adapt and formulate solutions quickly for facilities issues.
• Meticulous attention to detail and highly organized, especially regarding data and vendor management
• Exceptional verbal and written communication skills for partnering with regional leaders and external property managers.
• Experience working with enterprise technology and systems (such as Zendesk, Salesforce, or Confluence) is a plus.
• A passion for creating community and a world-class experience for our internal customers.
• Ability to work in the office during standard operating hours and lift up to 25 lbs as needed for facilities tasks
• Must be willing to travel 25%-30% of the time
• This role is 100% onsite

Compensation:

The base pay range for this position is $65,000 - $81,300 annually; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonuses and restricted stock units may be provided as part of the compensation package, in addition to a full range of benefits. Base pay is based on market location. Minimum wage for the position will always be met.
