Our client, one of New York City's premier global law firms, is seeking polished, service-driven professionals to join its Workplace Experience team as Workplace Experience Concierges. If you have experience in corporate reception, workplace experience, conference services, or office coordination, this role is an opportunity to bring your front-of-house expertise into a highly service-driven environment. You will combine guest services with conference room management, meeting coordination, catering support, visitor management, and daily workplace operations.
What You'll Do
- Deliver a warm, polished, and professional welcome to attorneys, clients, visitors, and employees, ensuring every guest receives an exceptional first impression from arrival through departure.
- Coordinate conference room reservations and ensure meeting spaces are fully prepared before each meeting, including room layout, seating, supplies, signage, and overall presentation.
- Manage meeting logistics by coordinating catering orders, beverage service, food and beverage setup, audiovisual requests, room configurations, and special accommodations.
- Welcome, register, and escort visitors throughout the office while notifying hosts of guest arrivals and ensuring a seamless guest journey.
- Monitor conference rooms throughout the day and reset spaces between meetings so rooms remain clean, organized, fully stocked, and ready for the next group.
- Maintain reception areas, client lounges, pantries, conference rooms, and shared workplace spaces to ensure they consistently reflect a polished and professional environment.
- Coordinate with internal hospitality teams and outside catering vendors to support food and beverage deliveries, meeting setups, event service, and breakdown.
- Support client meetings, executive meetings, internal programs, and workplace events by coordinating room layouts, vendor arrivals, catering, materials, and other hospitality needs.
- Monitor daily meeting schedules and proactively respond to last-minute room changes, guest requests, catering updates, and other evolving priorities.
- Utilize workplace management and room reservation systems to schedule conference rooms, manage visitor registrations, and process service requests accurately.
- Partner closely with Facilities, Hospitality, Security, Office Services, and Information Technology teams to resolve requests quickly and provide a seamless workplace experience.
- Anticipate the needs of attorneys, clients, guests, and employees, responding to requests with urgency, discretion, and a solutions-oriented approach.
- Build strong relationships with attorneys, business professionals, clients, vendors, and colleagues by consistently delivering exceptional customer service and hospitality.
What Makes You Successful
- Experience in corporate reception, workplace experience, conference services, office coordination, or front-of-house operations.
- Comfortable managing visitor registration, conference room reservations, and meeting schedules.
- Experience coordinating catering, conference room setup, audiovisual needs, and meeting logistics.
- Strong administrative skills and proficiency with Microsoft Outlook and workplace management systems.
- Able to communicate professionally with executives, attorneys, clients, vendors, and internal teams.
- Strong multitasking, organization, and attention to detail in a fast-paced office environment.
Preferred Qualifications
- 2+ years of experience in hospitality, workplace experience, concierge services, reception, hotels, private clubs, law firms, fine dining, or another high-touch customer service environment.
- Experience supporting conference services, catering, meetings, events, or workplace hospitality is preferred.
- Exceptional verbal and written communication skills with the ability to interact confidently and professionally with attorneys, executives, clients, and visitors.
- Strong organizational and multitasking skills with the ability to manage changing priorities in a fast-paced environment.
- Professional presence, strong attention to detail, and a genuine passion for delivering exceptional service.
- Comfortable using Microsoft Office, Outlook, room reservation systems, visitor management platforms, and other workplace technology.
- Proactive, collaborative, and able to remain calm and solutions-focused under pressure.
