Job summary

Qualifications

  • Bachelor’s degree in Business or Human Resources preferred.
  • 1+ years HR experience preferred.
  • Experience coordinating workers’ compensation claims and documentation is a plus.

  • Ensure compliance with state regulatory requirements and company policies.
  • Manage claim documentation and coordinate with stores, employees, providers, and payroll.

OverviewThe Workers’ Compensation Assistant is responsible for administering and coordinating workers' compensation claims from incident intake through claim resolution. Ensures compliance with state and regulatory requirements, manages claim documentation, coordinates with stores, employees, medical providers, claims administrators, legal counsel, and payroll, and supports return-to-work and risk management initiatives.Essential job functions include, but are not limited to:1. Incident Receipt and IntakeReceive and review incident reports submitted through Workday and other reporting channelsReview documentation received directly from store locations when an incident report has not been initiatedTrack, review, manage, and close first-aid incidents in WorkdaySupport increased workers' compensation and first-aid incident activity associated with new store openings2. Initial Claim Documentation ReviewVerify incident reports are submitted accurately and in compliance with company and state requirementsConfirm employees receive all required state-specific workers' compensation forms and notificationsTrack and maintain required claim documentation, including:Drug ScreensChain of Custody FormsAuthorizations to Release RecordsPanel of Physicians Documentation (where required)Authorizations for DisclosureAlcohol Testing DocumentationMedical Provider RecordsFollow up with store leadership and other stakeholders to obtain missing or incomplete documentation3. Drug and Alcohol Testing AdministrationCoordinate and monitor post-incident drug and alcohol testing related to workers' compensation claimsTrack testing associated with:Workplace injuriesProperty damage incidentsReasonable suspicion casesVehicle accidentsEnsure all testing results and supporting documentation are received, maintained, and documented in accordance with company policy and regulatory requirementsRespond to employee and management inquiries regarding drug and alcohol testing procedures, employee pay, and time reporting requirements4. Workers' Compensation Claim FilingFile workers' compensation claims with the third-party administrator (Strategic), as well as other state programs and agencies that do not utilize StrategicEnsure compliance with state-specific filing and reporting requirements, including:Ohio : File claims directly with the stateArizona : File claims with Strategic and complete required state formsArkansas: Complete required state forms and ensure employee-required documentation is submittedMaintain accurate claim records and filing documentation5. Work Status and Return-to-Work ManagementReview employee Work Status Reports and medical documentationMonitor employee work restrictions and return-to-work statusTrack follow-up appointments and treatment plans with treating physicians.Communicate with claims adjusters and provide requested claim information and supporting documentationReview available video footage and submit relevant evidence to claims adjustersPrepare Bona Fide Offer letters following work status updatesCoordinate the preparation of wage statements in partnership with PayrollSupport return-to-work and transitional duty programs6. Attorney and Litigation CoordinationManage claims involving employee legal representationEscalate attorney-represented claims to appropriate internal stakeholdersMaintain and update legal tracking reports and claim recordsTrack hearings, legal deadlines, medical appointments, and document requestsCoordinate responses and provide requested documentation to legal representativesPresent and review attorney-represented claims during claim summary and litigation review meetings7. Workers' Compensation Program AdministrationMaintain compliance with state workers' compensation posting requirements for all store locationsVerify stores maintain required Chain of Custody forms and related documentationCoordinate store setup and maintenance of approved occupational health and medical provider networksPartner with First Advantage and other vendors to ensure provider network participation and complianceReview and resolve outstanding workers' compensation-related invoices and billing discrepanciesServe as a resource to stores, employees, management, medical providers, claims administrators, and third-party vendors regarding workers' compensation policies, claim management processes, and regulatory requirements.Support workers' compensation compliance and claim administration needs associated with new store openings and business growth initiativesIt is an essential function of this job for the employee to work in office/in the employee’s assigned work site.
