Job summary

Alba Wheels Up is seeking an Operations Administrator to support daily transportation and warehouse operations in a fast-paced wine logistics environment. You will be the primary contact for inbound and outbound drivers, ensuring efficient shipment flow and accurate documentation across transportation, warehouse, account management, and leadership teams.

The role involves identifying operational concerns, escalating issues when needed, and supporting smooth day-to-day execution.

Qualifications

Strong organizational skills with attention to detail in a fast-paced environment.
Bilingual English/Spanish preferred to support driver and warehouse communication; not required.
Excellent verbal and written communication skills.
Experience using transportation management systems (TMS), ERP, and office software.

Responsibilities

Serve as main point of contact for inbound and outbound drivers with clear instructions.
Schedule and coordinate pickup appointments to maintain operations.
Assist Account Management with order entry and pulling bills of ladings (BOLs).
Process customer orders with data integrity in company systems.
Communicate with warehouse staff via walkie-talkie.
Prepare and maintain inbound/outbound shipping documentation.
Review and verify inbound paperwork in Transportation Management Systems (TMS).
Coordinate across transportation, warehouse, and customer service teams to ensure on-time shipment execution.
Trouble shoot routine issues and escalate non-routine concerns to management.
Provide general assistance to support daily business operations.
