Job summary

Value Windows & Doors is seeking a Wholesale Customer Representative to support the Wholesale Sales Manager and wholesale customers. You will manage customer accounts, coordinate orders, communicate with teams, and help maintain accurate records across CRM and ERP systems.

You will translate communications between Chinese and English and leverage AI tools for reporting, with a focus on accuracy and customer satisfaction.

Qualifications

• 2+ years of experience in customer service, account administration, or inside sales support in manufacturing or wholesale environments.
• Ability to communicate effectively in English and Chinese, both written and spoken.

Responsibilities

About The Role

We are seeking a Wholesale Customer Representative to support the Wholesale Sales Manager and wholesale customer base through customer-account support, order coordination, customer communication, issue resolution, and relationship-management activities. The role helps maintain customer satisfaction by ensuring customer requests, account information, orders, and communications are accurate, organized, and maintained in accordance with company standards and customer requirements. The position reports to the Wholesale Sales Manager and works cross-functionally with Sales.

What You’ll Do

• Maintain customer-account records and reference documentation, including customer profiles, account information, quotations, pricing records, order documentation, customer correspondence, delivery requests, and customer-service history.
• Investigate customer concerns, support issue resolution, and follow up on service, delivery, order, pricing, and account-related matters through closure.
• Compile customer-account, order-status, open-order, backlog, and customer-service information into reports, summaries, scorecards, and management-review documentation.
• Use Microsoft Copilot, Claude, or similar AI tools to assist with customer communication, reporting, documentation, translation, record organization, and administrative activities while reviewing all output for accuracy.
• Maintain customer records, quotations, order files, pricing information, CRM records, ERP records, and account documentation with appropriate accuracy and traceability.
• Pull and consolidate data from customer-service, CRM, ERP, sales, and operational systems using Microsoft 365, including Excel, and translate customer communications between Chinese and English.
• Coordinate customer requests and account activities with Sales, Production Planning, Engineering, Operations, Shipping, Quality Assurance, and Accounting and follow up on action items.

Training & Education

• Associate Degree preferred or equivalent combination of education and relevant work experience; 1-3 years of customer service, account administration, inside sales support, order processing, or manufacturing experience.
• Strong communication, customer-service, problem-solving, organizational, and multi-project management skills.
• Proficiency in Microsoft 365 and Excel; ability to use Copilot, Claude, or similar AI tools for communication support, reporting, translation, document development, drafting, and validation of AI-generated output.
• Fluent spoken and written Chinese and English with the ability to communicate business and customer-service information accurately.
• Strong attention to detail and ability to maintain accurate customer, order, account, and business records.

Preferred Qualifications

• Window and door product knowledge; familiarity with wholesale distribution, manufacturing, construction products, glazing products, or building-material industries.
• Experience with Salesforce, A+W Cantor, CRM systems, ERP systems, order-entry systems, or customer-management platforms preferred.
• Training in customer service, customer-account management, business communications, order administration, or customer relationship management preferred.
