Job summary

Utilities One is seeking a Water Division Assistant Director to lead the day-to-day operations of the Water Division, coordinating projects, vendors, materials, staffing and administrative processes. Reporting to the Water Division Director, you will assist with planning, procurement, payroll review, invoicing and budgeting, while ensuring safety, compliance, and timely project delivery.

Qualifications

• Experience in water utilities or related field.
• Supervisory or administrative management experience.
• Strong organizational and problem-solving skills.
• Experience with invoicing, payroll, purchasing, budgeting, and vendor management.
• Excellent written and verbal communication.
• Ability to manage multiple projects and deadlines.
• Proficiency with Microsoft Office or similar software.
• Knowledge of safety practices and water-industry regulations preferred.

Responsibilities

• Assist the Water Division Director with daily operations.
• Support management of water projects from planning to completion.
• Coordinate project schedules, resources, and field activities.
• Prepare invoices, purchase orders, and related documentation.
• Assist payroll review, tracking, and submission.
• Obtain pricing and quotations for materials, equipment, tools, and services.
• Participate in purchasing decisions within budgets.
• Assist with onboarding and orientation of new employees.
• Prepare and submit RFPs and other procurement documents.
• Coordinate with vendors, contractors, suppliers, and internal departments.
• Maintain inventories of materials, tools, equipment, and supplies.
• Monitor stock levels and arrange replenishment.
• Organize departmental records, reports, contracts, and project documentation.
• Identify and resolve scheduling, operational, and vendor issues.
• Ensure work complies with policies, safety requirements, and regulations.
• Act on behalf of the Water Division Director when assigned.
• Perform other related duties as required.
