Job summary

MacAllister Machinery Co., Inc. seeks a warranty administrator to process claims, track coverage, and coordinate service calls across multiple departments.

You will verify warranty data, prepare quotes for damage, and ensure proper documentation in the CAT database and L Share system. The role requires evaluating machine warranty and customer damage information, maintaining manuals, and delivering timely communications with internal teams.

Qualifications

• High school education or equivalent.
• 3 years’ experience with equipment preferably with a rental company or Caterpillar and/or in warranty/customer damage handling.
• Strong decision-making, problem-solving, and goal-setting skills.
• Ability to interpret and apply policies, procedures and guidelines.
• Strong understanding of warranty administration.
• Ability to inspect machines and components, including exposure to elements and heavy lifting.
• Proficient in Microsoft Office and basic database usage.
• Good oral and written communication; professional documentation.

Responsibilities

• Register extended warranty coverage with manufacturers and track premiums/discounts.
• Enter warranty type codes for new machines in the computer system.
• Follow up and capture Rental Division sales data and input into CAT database.
• File warranty claims for various departments (policy, goodwill, sales, parts, service).
• Coordinate service calls and communicate status to stakeholders.
• Validate warranty information in manufacturers’ warranty systems for each machine.
• Update work orders, maintenance forms, and ensure correct servicing per model.
• Invoice/claim work orders and charge remaining to dealer warranty account.
• Document customer damage with details/photos and update L Share.
• Track parts for warranty returns and ensure timely payment.
• Monitor PSP and PIP completion before expiration, for MacAllister-owned or customer-owned units.
• Prepare quotes for damage including parts and labor costs.
• Organize and update safety and operation manuals at the West Washington Street location.
• Complete special assignments from manager in a timely manner.
