Job summary

Circle Care Services is looking for an Intake Specialist to warmly welcome families and guide them through the intake and enrollment process for ABA services in Highland Park, NJ. This part-time, in-office role supports multiple families and requires strong communication and organization.

You will collect documents, explain steps, and coordinate with internal teams, with a potential to grow into a full-time position as services start for children.

Qualifications

• Excellent communication and people skills.
• Warm, patient, and comfortable speaking with parents.
• Strong follow-through and attention to detail.
• Organized and able to manage multiple families at different stages.
• Comfortable working on the phone and following up frequently.
• Spanish speaking is a plus.
• Experience in healthcare, ABA, customer service, intake, or related field is a plus, but not required.

Responsibilities

• Serve as a welcoming first point of contact for new families interested in ABA services
• Speak with parents to understand their needs and explain the intake and enrollment process
• Follow up consistently with families to keep the intake process moving
• Collect required documents and information from parents
• Assist families with completing intake paperwork
• Coordinate with internal teams to help move children toward starting services
• Keep intake information and statuses accurate and up to date
• Respond to parent questions by phone, text, and email
• Provide a warm, helpful, and professional experience from the family's first interaction with Circle Care
