Job summary

Helena Agri-Enterprises, LLC seeks an Assistant Warehouse Manager to support daily warehouse and administrative operations at our location. This role works closely with the Warehouse Manager to coordinate activities, inventory, deliveries and administrative functions, guiding warehouse staff and drivers to ensure efficient, timely execution of tasks.

You will handle accounts, tickets, invoices, and customer inquiries while maintaining records, permits, and compliance.

Qualifications

• Three years of experience in a business environment using spreadsheets and word processing software is required.
• High school diploma or equivalent is required.
• One year of general laborer experience is required.

Responsibilities

• Performs departmental typing, copying, filing, faxing, mailing, record keeping and reception duties.
• Maintains all accounts payable and accounts receivable.
• Inputs all delivery tickets, invoices and map details, daily collections and posting of checks.
• Assists customers with questions about their account such as balance, credits, invoices and discounts.
• Assists branch team members with projects as needed.
• Provides branch team with employee forms and information.
• Reviews work for completeness and quality.
• Maintains yearly records by filing and starting new-year files.
• Ensures required permits and tax forms are current at the start of each year.
• Assists with daily and monthly inventory counts and adjustments.
• Orders products with the Branch Warehouse Manager based on monthly and seasonal needs forecasts.
• Provides day-to-day direction and coordination of warehouse activities, including communicating work priorities and coordinating daily operational needs.
• Processes tickets, invoices, credit correspondence and other computer-related duties.
• Coordinates truck routing, including contacting customers, suppliers and other appropriate parties regarding delivery needs and concerns.
• Coordinates inventory control activities, including monitoring receivables, customer orders and general duties associated with inventory control.
• Assists the Warehouse Manager in monitoring and implementing supplier programs.
• Monitors equipment maintenance and care including month-end reports on mileage, driver reports and other required reports.
• Assists Warehouse Manager with month-end closing activities including verification of invoices, inventory count and proper month-end reports.
• Provides back-up to Truck Drivers and the administrative team at the location when needed.
• May be required to drive a company vehicle.
• Provides excellent customer service to all internal and external customers.
• Other work-related duties as assigned by leader.
• Reliable and regular attendance is required.
• Follows all company policies and procedures.
