Qualifications

  • Bachelor’s degree in higher education administration, business, nonprofit management, communications, or related field.
  • Minimum of 5–7 years of relevant professional experience in project management, advancement, or related area, or an equivalent combination of education and experience.
  • Preferred: Project Management Professional (PMP) certification or equivalent. Experience in higher education advancement, fundraising operations, or alumni relations.

  • Apply standardized project management methodologies to plan, execute, and assess Advancement initiatives; develop project plans with timelines and resources.
  • Lead project team meetings; ensure clear communication and accountability; monitor progress and address risks and scope changes.
  • Support development and execution of strategic Advancement initiatives, including campaigns, events, and donor engagement.
  • Develop and manage detailed project budgets and schedules based on scope and resources.
  • Develop and implement communication and change management plans for projects; liaise between leadership, teams, and campus partners.
  • Oversee collection, analysis, and reporting of project data; prepare reports and presentations for senior leadership.
  • Ensure projects adhere to university policies and regulations; provide guidance on industry trends and compliance.

Key Responsibilities
  • Project Management & Execution: Apply standardized project management methodologies to plan, execute, and assess Advancement initiatives. Develop comprehensive project plans, including timelines, task lists, and resource allocation strategies. Lead and facilitate project team meetings, ensuring clear communication and accountability. Monitor project progress and proactively address risks, scope changes, and resource needs.
  • Strategic Planning & Implementation: Support the development and execution of strategic Advancement initiatives, including campaigns, events, and donor engagement strategies. Assist in policy formation, program development, and implementation aligned with institutional and Advancement goals. Conduct project reviews and share best practices to improve operational effectiveness across the division.
  • Budgeting & Resource Management: Develop and manage detailed project budgets and schedules based on scope, staffing, and resource requirements. Ensure efficient use of financial and human resources to meet project objectives.
  • Communication & Stakeholder Engagement: Develop and implement communication and change management plans for projects. Serve as a liaison between Advancement leadership, project teams, and campus partners. Collaborate with internal and external stakeholders to support fundraising and engagement goals.
  • Data Management & Reporting: Oversee the collection, analysis, and reporting of project data to ensure accuracy and consistency. Prepare reports and presentations for senior leadership to support decision-making. Utilize data insights to enhance project outcomes and strategic initiatives.
  • Compliance & Best Practices: Ensure all projects adhere to university policies, as well as state and federal regulations. Provide guidance on industry trends, best practices, and compliance considerations within Advancement.
Required Qualifications

Work Hours and Compensation

Wage employees are paid an hourly rate for actual hours worked and are limited to working 1500 hours per year and can only work a maximum of 29 hours a week. Work hours must be counted on the basis of the twelve-month period beginning May 1 of each year and April 30 of the following year. Wage employees in all agencies (all branches of government) are limited to working no more than 1500 hours during each twelve-month period of May 1-April 30. Should you work 1500 hours prior to April 30, your services will be terminated immediately. You will not be eligible for employment again until May 1. It is the responsibility of the employee and supervisor, as well as the Office of Human Resources, to monitor these hours to ensure compliance to policy. Wage employees may not earn leave nor do they have access to the Grievance Procedure process. They are not covered by the provision of the Virginia Personnel Act and are not entitled to the benefits afforded employees occupying classified positions.
