Job summary

The Department of Health and Human Services (DHHS) in Augusta, Maine, seeks a Vital Records Assistant to perform planning, data collection and administrative tasks related to Maine’s vital events. You will manage the genealogist database, process record requests, and ensure data accuracy while maintaining excellent customer service.

Responsibilities include reviewing death with dignity reports for compliance, compiling monthly statistics, and supporting front desk operations.

Qualifications

  • Two-year combination of education, training and/or experience in statistics, methods of research and planning, and/or economic analysis.

Responsibilities

  • Oversee the genealogist database, tracking enrollments and processing weekly record requests.
  • Review physician death with dignity reports for compliance and follow up with physicians on incomplete data.
  • Compile monthly counts for vital records services and enter operations totals.
  • Prepare reports/ charts/ graphs on revenue from State Share of Vital Records.
  • Greet and direct clients at the front desk and support front desk operations.
  • Update accounting spreadsheets; record payments and receipts for services.
  • Cross-train across vital records areas and maintain reliability and strong work ethic.
