Job description

POSITION OVERVIEW:

The Veterinary Referral Coordinator is the critical role in ensuring an outstanding experience for pet owners and veterinary teams and best possible outcomes for pets. As an employee of Arista, you will work closely with general practice veterinary teams in the community and the Arista specialty/emergency veterinary teams on behalf of the pet & pet owners to facilitate seamless referrals and integrated advanced care.

Please note this role will begin as a remote role working with a mobile Internal Medicine service before transitioning to an in-clinic role when our new Dallas hospital opens later this year.

RESPONSIBILITIES & DUTIES:

  • Facilitate new patient referral intake process by acquiring, organizing, appropriately summarizing, and tracking medical records from all providers involved in the current and historical care of the individual patient
  • Build strong relationships with community general veterinary practice teams and the Arista specialty & emergency teams

  • Facilitate all communications between the pet owner and the veterinary facilities including appointment scheduling, general updates, providing support and monitoring response to treatment, and managing concise electronic medical records across systems

  • Be viewed as an advocate by pet owners requiring advanced care for their pet

  • Recognize that accurate and easily referenced medical records greatly impacts the quality, cost and outcome of care for every patient

  • Learn to read, understand and respect medical records and practice style of community general veterinary practice teams and the Arista specialty & emergency teams

  • Facilitate the ongoing client/patient journey by managing concise electronic medical records across systems

  • Help develop and improve on the electronic tools needed to streamline and create more efficiencies in the provision of advanced care

QUALIFICATIONS:

  • 5+ years experience working in healthcare - veterinary technician, nurse or relevant clinical experience

  • Experience in both general practice and specialty/ ER veterinary medicine preferred
  • High emotional intelligence and highly personable and flexible communication style to serve the needs of pet owners as well as general practice, specialty and emergency veterinary teams

  • Extremely organized, detail oriented and self-motivated for efficient working style
  • Must be comfortable with medical terminology, medical records and diagnostic reports
  • High proficiency with Electronic Medical Record / PIMS systems as well as email, efax, PDF, and document scanning
  • Clear and friendly verbal & written communication skills for telephone, email and texting with veterinary clinical staff
  • Ability to work independently while staying connected to a team and taking pride in work
