Job summary

Optimum is seeking a detail-oriented professional to manage vendor payments, contracts, and Business Access Agreement (BAA) processes. You will handle payment processing, reconciliations, vendor onboarding, contract administration, and records management, partnering with Finance, Accounts Payable, and Vendor Management to ensure compliance and accurate coding.

You will maintain BAA terms, reconcile payment trackers in Oracle Payables, and help minimize operational risk through proper approvals

Qualifications

• Three or more years of vendor management, accounts payable, or general accounting experience.
• Proficiency with MS Office, Google Workspace, and advanced Excel including PivotTables.
• Experience with Oracle ERP and financial systems.
• Strong organizational skills and ability to manage multiple priorities independently.
• Knowledge of Forms W-9 and W-8 and vendor documentation.
• Understanding of contracts as they relate to invoice processing.

Responsibilities

• Oversee BAA Payables mailbox and manage vendor account communications.
• Track, document, archive, verify, and follow up on transactions.
• Process Upload batches per BAA terms and procedures.
• Maintain BAA agreements in network files; archive executed ones.
• Reconcile weekly payment trackers with Oracle Payables; ensure terms.
• Code expenses per Finance directives with Business Planning.
• Collaborate to set approvers and authority levels in payables system.
• Ensure adherence to policies and internal controls in vendor payments.
• Support new contract negotiations and procurement with B2B initiatives.
• Maintain contracts in Contract Works System and monitor expirations.
• Manage vendor onboarding and profile changes via OLII Central.
• Liaise between internal stakeholders and vendors to resolve issues.
