Qualifications

• Experience sourcing and coordinating vendors, preferably for facilities maintenance.
• Strong written and verbal communication and exceptional organization.
• Familiarity with vendor management systems and CRM tools.
• Ability to multitask across departments and manage priorities.
• Knowledge of COI, W9, licensing compliance is a plus.

Responsibilities

• Identify and recruit qualified subcontractors and vendors.
• Collaborate with Facilities Management to prioritize vendor needs.
• Evaluate vendor qualifications including licenses and insurance.
• Manage end-to-end onboarding: review applications, collect documents, process.
• Maintain vendor records in systems and foster relationships with existing vendors.
• Ensure documentation is current and compliant (COIs, W9s, certifications).
• Coordinate daily with departments to ensure seamless vendor integration.
• Utilize mobile tech to access systems and manage tasks.
