Job summary

HopeTree Family Services in Salem, VA seeks a Clinical Services Coordinator to provide administrative and operational support for the Outpatient Counseling Program, serving as a primary contact for clients, families, and partners.

You will coordinate intakes, referrals, scheduling, insurance verification, clinician credentialing, billing prep, records, and front-office operations to ensure timely access to care and trauma-informed client experience.

Qualifications

• High school diploma or equivalent; 2+ years in healthcare/behavioral health admin or related field.
• Strong administrative, communication, organizational, and confidentiality skills.
• Preferred experience with patient access, scheduling, insurance verification, billing, and provider credentialing.

Responsibilities

• Serve as primary receptionist and front-office contact for HopeTree’s Outpatient Program and Family Services guests.
• Coordinate intake scheduling, referrals, and clinician assignments.
• Verify insurance eligibility and benefits; assist with billing preparation and payment collection.
• Maintain electronic and paper records per agency procedures and HIPAA.
• Manage scheduling across MyEvolv and other platforms to support continuity of care.
• Support credentialing, enrollment, and payer communications as needed.
