Job summary

GAI Consultants seeks an experienced Proposal Specialist/Marketing Specialist to lead transportation and infrastructure pursuits in a hybrid role across Indiana, Kentucky, Ohio, or West Virginia. You’ll manage the full pursuit lifecycle, drive narrative, and ensure compliance to win DOT, county, and municipal work.

You’ll work with engineers and leadership to translate technical depth into persuasive stories, mentor staff through shortlist presentations, and continuously improve content

Qualifications

• 5+ years in proposal coordination, proposal management, or AEC marketing.
• Proven track record meeting tight deadlines with multiple contributors.
• Strong writing, editing, and proofreading skills.
• Deltek Vantagepoint experience or CRM systems (preferred).
• Experience coaching technical staff through shortlist presentations (preferred).

Responsibilities

• Lead full pursuit lifecycle from kickoff to submission and shortlist interview.
• Manage mid-sized pursuits independently and support major and multi-firm efforts.
• Ensure RFP compliance and confirm every requirement is answered.
• Write and edit executive summaries, project descriptions, and staff resumes.
• Develop presentation materials, coordinate rehearsals, and manage logistics for shortlist interviews.
• Maintain accurate data in Deltek Vantagepoint and promote data reuse.
• Create marketing collateral such as service briefs, project profiles, and award submissions.
• Drive process improvements with libraries, templates, and boilerplate to cut turnaround times.
