Position: Training Coordinator

Location: Washington, DC (metro accessible)

Hybrid: This role is hybrid requiring the selected candidate to be LOCAL with onsite presence required depending on event schedules - estimating 60% to be virtual

$20-22/hour

Position Type

Experis contractual, hybrid position as a Training Coordinator, supporting the organization’s leadership, professional, and technology training programs. Reports to the on-site Experis Training Manager.

Position Summary

The Training Coordinator manages the planning, coordination, and administration of training programs and events, including instructor-led and online formats. This role oversees logistics, registration, and participant experience while supporting data management, reporting, and program metrics. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Candidates must be adaptable and able to pivot professionally as training programs and processes evolve.

Key Responsibilities:

Event Coordination & Logistics:

  • Plan, schedule, and coordinate training events (in-person, virtual, and hybrid)

  • Manage venue logistics, technology setup, materials, and vendor coordination

  • Develop and maintain event timelines, checklists, and communication plans

  • Coordinate with instructors, facilitators, and internal stakeholders

  • Monitor event execution and resolve issues in real time

  • Support instructors with waitlists, attendance reconciliation, and course material preparation

Registration & Enrollment Management:

  • Oversee the full registration lifecycle from enrollment through completion

  • Manage training registration systems and ensure data accuracy

  • Process participant registrations, waitlists, cancellations, and transfers

  • Communicate confirmations, reminders, and follow-ups to participants

  • Maintain participant records in compliance with organizational policies

Customer Service & Communication:

  • Serve as the primary point of contact for participants and stakeholders

  • Respond to inquiries regarding course offerings, schedules, and requirements

  • Provide clear and timely communication before, during, and after events

  • Support participant experience and troubleshoot registration or access issues

  • Collect course evaluations and feedback for program improvement

Data Management & Reporting:

  • Track attendance, completion records, and training metrics

  • Generate reports on enrollment, participation, and outcomes

  • Maintain accurate LMS records and decision-making documentation

  • Support audits and compliance requirements as needed

  • Support analysis of training data in Excel, including pivot tables, queries, and reporting dashboards if needed

Process Improvement:

  • Identify opportunities to streamline registration, event processes, and reporting

  • Recommend and implement improvements to systems and workflows

  • Support the adoption of new tools, technologies, automation, and AI solutions

Required Qualifications:

  • Bachelor’s degree required with equivalent experience in administration, event management, education, or a related field being a PLUS.

  • Proficiency in Microsoft Office Suite ( Word & Excel required; PowerPoint is a PLUS) with experience using Excel for reporting and data management also being a PLUS

  • Strong Customer Service Skills - ability to work with diverse stakeholders at varying levels

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment, with effective planning and follow-through

  • Exceptional time management skills, with the ability to work independently, manage scheduling conflicts, and balance competing priorities and deadlines

  • Strong written and verbal communication skills, including clear, concise English composition and grammar

Preferred:

  • Experience working in an interactive Learning Management System (LMS)

  • Specifically, Workday Learning experience within an LMS environment

  • Background in training, education, or professional development

  • 2–4+ years supporting training programs, event coordination, and registration operations, including managing multiple events in a professional environment

  • Experience coordinating training programs in diverse or multicultural environments

  • Familiarity with process improvement initiatives or streamlining workflows

  • Adaptable and comfortable with change, with a willingness to adopt new technologies, improve processes, and leverage automation and AI to enhance efficiency

  • Proficiency in Microsoft Excel, including the ability to analyze and manage large datasets, create pivot tables, perform lookups, and generate reports; experience with dashboards, data visualization, Power Query, or basic automation is a plus
