Willmeng Construction, Inc. in Phoenix seeks a Pre-Qualification Coordinator to manage trade partner onboarding and renewals. You will coordinate document intake, track compliance, and maintain accurate records while collaborating with Estimating and Project Operations teams.

The role emphasizes detail-oriented document control, professional communication, and cross‑department coordination, with an office-based schedule and occasional site visits.

Qualifications

• 2+ years of administrative experience; construction, subcontractor management, or vendor compliance experience preferred.
• Strong organizational skills with the ability to manage multiple files and deadlines.
• Proficiency with Microsoft Office and comfort learning new software platforms.
• Strong written and verbal communication; professional customer-service approach.
• Ability to handle confidential information with discretion.

Responsibilities

• Serve as the primary contact for trade partners during initial prequalification and annual renewal.
• Collect, review, and organize submissions for completeness (forms, insurance, safety docs, references).
• Track status in the prequalification system and follow up on missing items.
• Maintain renewal schedules and notify partners of expirations and deadlines.
• Support audits and standardize templates, checklists, and email scripts.
• Coordinate with internal teams to resolve constraints delaying approval.
