Job summary

FLORIDA DEPARTMENT INSTITUTE P seeks a compassionate TMS Coordinator to manage scheduling, authorizations, and patient records within our mental health team. You will liaise with psychiatrists, providers, and staff to ensure seamless care and accurate documentation throughout the patient’s treatment course.

You will educate patients on TMS processes, monitor progress, and help maintain high-quality, confidential care in a collaborative environment that values patient-centered service.

Qualifications

• High school diploma required; associate's/bachelor's preferred in healthcare admin or related field.
• Experience in a mental health/medical office or healthcare setting preferred.
• Experience with insurance verification and prior authorizations is preferred.
• Knowledge of Transcranial Magnetic Stimulation (TMS) or willingness to learn.
• Strong organizational, communication, and multitasking skills.
• Proficiency with electronic health records (EHR) and Microsoft Office.
• Ability to work independently while collaborating with a multidisciplinary team.

Responsibilities

• Coordinate all aspects of TMS treatment scheduling and patient appointments.
• Verify insurance benefits and obtain prior authorizations for TMS services.
• Educate patients on the TMS treatment process and answer general questions.
• Maintain accurate patient records and documentation in the EHR.
• Communicate with providers, clinical staff, and patients regarding treatment plans and scheduling changes.
• Monitor treatment progress and ensure completion of required documentation.
• Track authorizations, treatment sessions, and patient outcomes.
• Assist with reporting, compliance, and quality assurance activities.
• Maintain confidentiality and comply with HIPAA and organizational policies.
• Provide exceptional customer service to patients and families throughout the treatment process.
