Job summary

Jones Lang LaSalle Incorporated is seeking a Tenant Service Representative to support daily building operations in Chicago. You will serve as the link between tenants and the property management team, handling scheduling, documents, inspections, and service requests to ensure top-notch service delivery.

The role requires a BA/BS in business, strong organizational and communication skills, and proficiency with property management systems.

Qualifications

• Bachelor's degree in Business Administration, Business Management, or related field with coursework in accounting/finance.
• Strong written and verbal communication skills; ability to present before groups and interpret procedures.
• Excellent organizational skills; manage multiple projects under pressure with attention to detail.
• Autonomous and collaborative; effective with internal clients at all levels.
• Ability to calculate financial figures related to tenant billing and budgets.
• Proficiency in Microsoft Office and property management software; adapt to new platforms.
• Flexibility to extend hours when operational needs require.

Responsibilities

• Provide direct administrative support to the GM, AGM, Chief Engineer, and property teams including scheduling and correspondence.
• Manage Prism work order processing, inspections, and COI portal; provide weekly status reports.
• Ensure 100% COI compliance for tenants, contractors, vendors; document incidents and enforcement procedures.
• Conduct weekly property inspections of receptions, lobbies, and conference rooms.
• Oversee accounts payable and assist with tenant billing for supplemental services; support accounts receivable.
• Monitor office supplies and maintain kitchenettes; ensure seamless building functionality.
• Develop and maintain property documentation (handbooks, manuals, price lists) and coordinate updates.
• Coordinate new tenant welcome/orientation and establish strong relationships from day one.
• Develop monthly engagement events to support wellbeing and inclusion across teams.
• Manage vendor contracts, proposals, cost-reduction programs; ensure budget alignment.
• Oversee the lobby music program and organize department meetings to strengthen collaboration.
