Job summary

Farley White Management is seeking a Tenant Coordinator in Lowell, MA to support daily operations of a Class A commercial office portfolio. You will be the primary contact for tenants, coordinate work orders, and assist with financial, administrative, and operational tasks.

This role emphasizes vendor coordination, lease administration, budget support, and timely communication. A minimum of 3 years in commercial real estate and strong customer service skills are required; in-person schedule

Qualifications

  • Associate or bachelor’s degree preferred.
  • Min 3 years’ experience in commercial real estate management.
  • Familiarity with building systems (HVAC, electrical, life safety) preferred.
  • Excellent written and verbal communication skills.

Responsibilities

Lowell MA - IN-PERSON /NO HYBRID OPTION

SCHEDULE

Monday - Friday 8:30am - 5:30pm

JOB SUMMARY

The Tenant Coordinator supports the daily operations of a Class A commercial office portfolio by serving as a primary point of contact for tenants, coordinating property management activities, and assisting with financial, administrative, and operational functions.

Essential Functions & Responsibilities
  • Serve as a primary point of contact for tenant requests and inquiries.
  • Monitor and coordinate work orders, ensuring timely resolution and tenant satisfaction.
  • Assist with tenant move-ins, move-outs, and onboarding activities.
  • Escalate tenant concerns to management as needed.
  • Process and track accounts payable invoices.
  • Support accounts receivable functions, including collections, tenant communication, and reporting.
  • Coordinate tenant bill-backs, utility charges, and other recoverable expenses.
  • Assist with budget preparation and financial reporting.
Property Operations
  • Coordinate vendor access, scheduling, and contract compliance.
  • Verify and maintain certificates of insurance and related documentation.
  • Conduct regular property inspections to ensure a high standard of maintenance.
  • Prepare tenant and building communications, including operational notices.
Lease & Tenant Administration
  • Maintain tenant records, lease-related documentation, occupancy reports, and rent rolls.
  • Coordinate lease administration activities, including amendments, billing changes, and security deposit tracking.
  • Support property management systems and databases.
Office Administration
  • Answer and direct incoming phone calls and visitors.
  • Maintain office supplies, equipment, and general office organization.
  • Support tenant events and administrative projects as assigned.
QUALIFICATIONS:
  • Associate or bachelor’s degree preferred
  • Min 3 years’ experience in commercial real estate management required.
  • Prior experience with industrial, manufacturing, or laboratory properties preferred.
  • Familiarity with building systems (HVAC, electrical, life safety, building management systems) preferred.
  • Familiarity with budget management and monthly financial reconciliation reports.
  • Proven customer service and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to determine needs and achieve results without close supervision.
  • Demonstrated proficiency with computer programs to include Microsoft Office Suite and other property management software such as MRI, Building Engines, Yardi.
  • Ability to organize and coordinate work efficiently and set priorities.
  • Ability to work independently and as part of a team.
  • Consistently projects professionalism.
  • Ability to work under pressure and effectively meet deadlines.
  • Ability to communicate effectively and courteously in challenging situations
COMPENSATION

Salary commensurate with experience and includes a company profit sharing program and performance-based bonus.
