Job summary

First Realty Management, a family‑owned and privately held property management company with 70+ years of experience, seeks a full‑time Leasing/Management Assistant in Boston. The role reports to the Property Manager and serves as the first point of contact for site staff and residents.

You will provide exceptional customer service, manage rent-related tasks, coordinate rentals, and assist with maintenance and resident activities while using Entrata and Avid systems.

Qualifications

  • Excellent resident relations, customer service, and telephone skills.
  • General office skills.
  • Good communication skills, both verbal and written.
  • Strong organizational skills and attention to detail.

Responsibilities

  • Complete guest cards.
  • Provide superior customer service to residents by assisting with site services such as move-ins, key distribution, and other materials.
  • Receive and answer telephone calls, direct incoming calls appropriately, take messages, and assist callers whenever possible.
  • Greet and assist all visitors to the management office.
  • Take maintenance service requests and follow up with maintenance staff to ensure completion when necessary.
  • Take resident complaints and handle matters according to guidelines established by a property manager.
  • Assist in the coordination of rental activities and address residents’ general concerns.
  • Maintain resident files, lists, and resident-related data.
  • Collect and process rent checks, prepare rent receivables reports.
  • Prepare memos, letters, reports, and other documents.
  • Schedule services and inspections related to buildings and apartments; coordinate and communicate with residents when applicable.
  • Order office supplies, maintain postage machines, arrange office equipment repairs.
  • Work with other staff members to ensure the management office appears professional and maintains a professional environment.
  • Assume additional responsibilities and assist co-workers when necessary.
  • Assist with the processing of rental applications.
  • Help facilitate resident activities and parties.
  • Other duties as assigned.
  • Utilize systems such as Entrata and Avid.

Position Summary

A full‑time Leasing/Management Assistant position is available reporting to the Property Manager in Boston. This individual will be the first point of contact for all site management staff and residents. The ideal candidate will have excellent customer service, communication, and marketing skills.

Knowledge Of

Experience
  • Prior work experience in an office environment.
  • Will be required to cover the Management Office in the Property Manager’s absence.
  • Must possess strong resident relations skills and the ability to work effectively with a wide variety of individuals.
  • Strong knowledge of computer applications such as Word, Excel, etc. is essential.
  • Must be able to organize priorities effectively and have excellent attention to detail.
  • Ability to multi‑task is essential.
  • The schedule is Tuesday – Saturday, 9 a.m. – 5 p.m.
  • Experience with Entrata preferred.
