Job summary

Children’s Minnesota is seeking a Schedule Management Coordinator within the Staffing Office to ensure unit staffing levels meet patient care needs. You will collaborate with unit leadership to create and finalize schedules, manage real-time requests, and adjust staffing up to 24 hours before shifts.

You will approve vacations, reconcile time cards, track staffing trends, and generate Kronos reports in partnership with the Staffing Office.

Qualifications

  • High school diploma or equivalent required.
  • Two years of college or secretarial science degree preferred.
  • One to two years computer experience with data input and report generation.
  • Microsoft Office including Word and Excel with advanced skills encouraged.

Department Overview

Our care traffic control center (CTCC) is at the heart of the Children’s Minnesota organization overseeing the operations of each hospital dispersed between three campuses. Our staff includes dedicated hospital nursing supervisors and staffing office personnel who work closely together as we continuously monitor each hospital’s unit activity and staffing needs while maintaining the organizational core value of putting “kids first.” The CTCC department provides a distinctive opportunity for team members to lead through collaboration with each unit in prioritizing patient flow, triaging operational issues or clinical staffing areas of concern, and organizing overall daily staffing resources within one of the largest pediatric health systems in the United States. Position Summary

The Schedule Management Coordinator has shared responsibilities within the Staffing Office and as a unit-based scheduler for assigned units to ensure patient care areas have the resources they need to deliver patient care both efficiently and effectively. In this role, the Schedule Management Coordinator will collaborate at least weekly, and as needed, with unit leadership to develop and finalize each schedule cycle to ensure optimal unit staffing levels. This includes managing real time staff scheduling requests reviewing intermediate staffing needs with unit leadership, and adjusting to unit staffing needs based on patient care requirements up to 24 hours before each shift start time. The Schedule Management Coordinator approves all unit/department staff vacations, completes time card reconciliations, tracks staffing trends and provides Kronos reports for data analysis as required, and collaborates with PCMs to determine position postings. In partnership with Staffing Office team members, they assist in problem solving unique or imminent staffing needs, rotate scheduled Staffing Office hours, and may fill in as needed when the Staffing Office has an open shift.

Reports directly to the Manager of Care Traffic Control Center (CTCC). Reports secondarily to the PCM of the units they support.

Education
  • High school diploma or equivalent required.
  • Two years of college or secretarial science degree preferred.
Experience
  • One to two years computer experience that includes data input and report generation required.
  • Microsoft Office including Word and Excel with advanced computer skills strongly encouraged.

The posted salary represents a market competitive range based on salary survey benchmark data for similar roles in the local or national market. Annual salaries displayed are based on full-time employment (40 standard hrs per week). Annual salaries for part-time positions will be prorated based on the employee’s scheduled weekly hours in relation to the full-time standard. When determining individual pay rates, we carefully consider a wide range of factors including but not limited to market indicators for the specific role, the skills, education, training, credentials and experience of the candidate, internal equity and organizational needs.
