Job summary

Lucile Packard Foundation for Children’s Health in Palo Alto is seeking a Temporary Gift & Data Processing Specialist to support gift processing, donor data updates, and month-end reconciliation during the Foundation’s annual giving period and CRM transformation.

This six-month, onsite role requires a strong eye for detail, HIPAA handling, and the ability to manage multiple tasks within Gift Administration, with occasional remote day per week during peak periods.

Qualifications

• Two years of experience in an administrative, database, or bookkeeping role.
• Experience doing complex data entry with strong attention to detail.
• Ability to manage multiple projects simultaneously in a busy environment.
• Ability to exercise good judgment and handle confidential and sensitive information with the utmost discretion and in compliance with HIPAA.
• Experience with Microsoft Excel, Word, and Outlook. Intermediate skill with Excel required.

Responsibilities

• Processing routine gifts by following established procedures and detailed documentation to enter gift information accurately in the donor database.
• Preparing gift receipts and acknowledgments in accordance with Foundation practices and service expectations.
• Ensuring the accuracy of gift data entry by performing daily audits and escalating exceptions appropriately.
• Updating constituent records using information from donors, Foundation staff, returned mail, and approved sources.
• Supporting the Gift Processing email inbox and assisting with donor and staff questions, escalating complex matters as needed.
• Assisting with month-end reconciliation activities and transferring gifts to beneficiaries.
• Following controls to support timely processing, donor service, data integrity, and year-end compliance.
• Assisting with CRM transformation activities, including data review, cleanup, testing, and conversion tasks.
• Creating or updating documented processes for recurring tasks.
