Job summary

Encode Inc., a fully owned subsidiary of LanceSoft, seeks a Technical Writer for Maintenance Operations in Pensacola, FL. Under minimal supervision, you will create and maintain technical documentation to support maintenance tasks and Maximo CMMS data.

You will collaborate with maintenance technicians, reliability engineers, and cross-functional teams to verify manuals, PM work orders, job plans, and specifications, ensuring accuracy, clarity, and consistency across all documentation.

Qualifications

• Minimum 3 years of maintenance experience in industrial/manufacturing environments.
• Familiarity with Maximo or other CMMS platforms preferred.
• Ability to read OEM manuals, technical drawings, and schematics.
• Excellent written communication and technical writing skills.
• Proficiency in Microsoft Word, Excel, and common PDF editing tools.
• Willing and able to work early-in, late, and/or overtime including weekends on short notice.
• Willing and able to work any shift including split shift and across shifts.

Responsibilities

• Create and update user manuals, PM work orders, and job plans in Maximo CMMS.
• Review maintenance instructions against OEM manuals and specs for accuracy and compliance.
• Validate labor estimates and task sequencing to reflect field execution.
• Revise and standardize documentation to align with OEM procedures and internal standards.

• Support data entry, document control, configuration management in Maximo.
• Document technical activities and prepare detailed reports.
• Ensure accuracy and consistency of content following established documentation standards.

Technical Writer for Maintenance Operations

Position Summary: With minimal supervision, creates and maintains technical documentation to support organizational operations.

Essential Responsibilities:

• Develop, review, and update user manuals, guides, preventive maintenance (PM) work orders, job plans, and technical documentation within the Maximo CMMS.
• Review and validate maintenance instructions against OEM manuals and technical specifications to ensure accuracy, compliance, and alignment with current maintenance practices.
• Validate labor estimates, job steps, and task sequencing to ensure they accurately reflect field execution and operational st andards.
• Revise and standardize documentation to align with OEM procedures, internal standards, and best documentation practices.
• Produce clear, consistent, and well-structured technical content to improve readability, usability, and effectiveness of maintenance tasks.
• Collaborate with maintenance technicians, supervisors, reliability engineers, and cross-functional teams to gather technical information, obtain feedback, and validate documentation updates.
• Support data entry, document control, configuration management, and related activities within Maximo as required.
• Document technical activities and prepare clear, detailed reports.
• Ensure accuracy, clarity, and consistency of all technical content while adhering to established documentation standards and best practices.

Qualifications/Requirements:

• Ability to meet physical demands associated with a Maintenance function job profile, to include climbing ladders and stairs, bending, twisting and maneuvering in tight or elevated spaces to safely access equipment.
• Ability to transitionbetween elevated work areas to inspect, photograph and document equipment, systems and maintenance activities in an industrial environment while adhering to all safety requirements and PPE standards.
• Minimum of 3 years of maintenance experience in an industrial, manufacturing, or similar environment.
• Familiarity with Maximo or other CMMS platforms preferred.
• Ability to read and interpret OEM manuals, technical drawings, and schematics.
• Strong attention to detail with a focus on documentation accuracy, consistency, and formatting.
• Excellent written communication and technical writing skills.
• Proficiency in Microsoft Word, Excel, and common PDF editing tools.

Desired Characteristics:

• Trade certification or associate degree in Mechanical, Electrical, or Industrial Maintenance.
• Previous experience standardizing PM programs or contributing to CMMS improvements or upgrades.
• Knowledge of Lean Maintenance, Reliability-Centered Maintenance (RCM), or similar methodologie
