DESCRIPTION

Position Summary:

The Production Manager works in close partnership with the Artistic Director, Producing Director, and Managing Director to oversee all technical and logistical aspects of the company’s productions and events. Core responsibilities include budgeting, scheduling, coordinating designers and technicians, leading production meetings, and executing hands‑on technical tasks such as sourcing materials, supervising load‑ins, and troubleshooting backstage issues. The position requires frequent evening and weekend hours during production periods.

Duties/Responsibilities
  • Manage all phases of production: pre‑production planning, design process, build, load‑in, technical rehearsals, previews, performances, and strike.
  • Serve as the primary contact between artistic leadership, designers, stage management, and technical staff.
  • Create and maintain production calendars, deadlines, and rehearsal schedules; ensure the master calendar remains accurate and up to date.
  • Coordinate and facilitate weekly production meetings and post‑mortems, ensuring clear communication across departments.
  • Support the casting process, including timeline creation, postings, outreach, and audition organization.
  • Initiate hiring and onboarding of stage managers, designers, and production personnel in collaboration with the Artistic Director and Managing Director.
  • Secure bios and marketing materials when issuing offer letters.
  • Draft and send offer letters to actors and creative team members.
  • Research, secure, and book appropriate rehearsal spaces for all productions.
  • Schedule and supervise front‑of‑house staff in collaboration with the Education Department (teaching artists).
  • Oversee workshops and table reads in partnership with the Artistic and Producing Directors.
  • Perform light carpentry, audio, and electric tasks as needed.
  • Maintain detailed inventory of storage items; lead annual storage clean‑outs and organization.
  • Serve as an in‑house videographer for production documentation as needed.
  • Print and distribute scripts/scores for rehearsals and workshops as required.
  • Provide direct technical support: light hangs, sound setup, scenic installation, prop sourcing, and backstage troubleshooting.
  • Attend technical rehearsals, previews, and early performances to identify and resolve issues.
  • Support stage management during the run with backstage needs, repairs, and adjustments.
  • Maintain the artistic and technical integrity of each production throughout its run.
Administrative & Organizational Duties
  • Develop and manage production budgets for each show.
  • Track expenses, approve purchases, and maintain cost‑effective solutions.
  • Source materials creatively to maximize limited resources.
  • Maintain production documentation, cue sheets, build notes, and vendor records.
  • Support long‑term planning for future seasons, capital improvements, and equipment upgrades.
  • Contribute production‑related information to grant applications and reports.
  • Manage and update Production Folders in Dropbox and Google Drive.
  • Ensure all production files are properly backed up and updated following each production.
TYA Showrights
  • Managing the organization's licensing profolio including the mastersheet for showright and catalogs
  • Managing agreements with all parties involved in the production
  • Negotiating and finalizing the terms of contracts with the creative or their representatives, including writers, playwrights, composers, and/or publishers, and for the underlying right for book adaptation
  • Updating and renegotiating the terms for extensions
  • Acting as the primary contact with literary managers or agents
