  • Ensure work follows written procedures, federal records policies and disposition schedules, chain‑of‑custody requirements, and applicable NARA records‑management and transfer guidance.
  • Safeguard sensitive legal, investigative, and litigation‑related records while maintaining confidentiality and attention to detail.

Job description

Leads the day-to-day execution of an onsite federal records and litigation support operation involving document organization, case-file processing, indexing, records inventorying, quality control, and file preparation. The Task Supervisor serves as a hands‑on working lead, assigning and prioritizing tasks, monitoring progress, resolving workflow issues, performing quality‑control reviews, and ensuring work is completed accurately, consistently, and on schedule.

Leads the day-to-day execution of an onsite federal records and litigation support operation involving document organization, case-file processing, indexing, records inventorying, quality control, and file preparation. The Task Supervisor serves as a hands‑on working lead, assigning and prioritizing tasks, monitoring progress, resolving workflow issues, performing quality‑control reviews, and ensuring work is completed accurately, consistently, and on schedule.

The position also supports production activities alongside the team, including reviewing and organizing case‑file materials, coordinating document retrieval and filing, verifying inventories and tracking logs, and documenting completed work. The supervisor must be able to interpret detailed procedures, troubleshoot issues, communicate status and concerns to management, and ensure sensitive records are handled with appropriate confidentiality and care.

Key Responsibilities
  • Lead and direct Document Management Technicians and other assigned support personnel performing records and litigation‑support work.
  • Assign and prioritize daily work, track production, report progress, troubleshoot issues, coordinate with supporting teams, and document completed work.
  • Perform quality‑control spot checks and final reviews to ensure work is accurate, complete, consistent, and delivered on schedule.
  • Work alongside the team on document retrieval, case‑file organization, indexing, folder‑level inventories, reboxing, and records‑transfer preparation as needed.
  • Ensure work follows written procedures, federal records policies and disposition schedules, chain‑of‑custody requirements, and applicable NARA records‑management and transfer guidance.
  • Safeguard sensitive legal, investigative, and litigation‑related records while maintaining confidentiality, sound judgment, and close attention to detail.
Requirements
  • At least one year of experience supporting major litigation projects.
  • Broad litigation‑support experience across multiple functions, such as document centers, document review/coding, discovery support, case‑file management, or related areas, is preferred.
  • Undergraduate degree required. Substantial, significant relevant experience may, in some cases, be accepted in place of the degree requirement.
  • Demonstrated ability to work independently while leading within a team environment, with excellent written and verbal communication skills.
  • Hands‑on experience with office, network, and data‑processing environments, including word processing, spreadsheets, imaging systems, PC‑and server‑based databases, and document‑review applications. Familiarity with tools such as Oracle, Relativity, TrialDirector, or comparable platforms is valuable. Familiarity with ESI tools and eDiscovery procedures is preferred.
  • Working knowledge of federal records‑management requirements, records disposition schedules, NARA guidance, and records‑transfer procedures. Experience handling sensitive legal, investigative, or litigation‑related records with a high degree of accuracy and confidentiality is required.
  • Must be available to work full time onsite in Washington, DC, 40 hours per week and 8 hours per day on an approved schedule covering core business hours.
  • Must be willing to comply with all confidentiality requirements applicable to sensitive legal and investigative records. Resume should clearly document qualifying litigation‑support, systems, records‑management, and leadership experience.
  • U.S. Citizen. Must be able to successfully complete the required federal security/background screening, including a Minimum Background Investigation (MBI) and conflict review, before starting work.

This position is contingent upon contract award. HeiTech Services is proactively identifying qualified candidates in anticipation of a potential federal contract award.
