Job summary

Allegis Global Solutions in North America is seeking a Program Specialist I to manage the full lifecycle of requisitions, build relationships with Hiring Managers, and ensure timely talent delivery.

You will handle intake, sourcing, onboarding, time and expense management, offboarding, reporting, and act as a talent advisor to support clients through the requisition fulfilment process.

Qualifications

• University degree preferred or applicable experience.
• Experience in high volume coordination activities.
• At least 1 year of customer service experience.
• Client hiring manager/supplier facing.
• Excellent verbal and written communications.
• Ability to work in a dynamic environment that changes daily.
• Strong analytical and problem solving skills.
• Strong documentation and follow up skills.
• Strong time management.
• Strong organizational skills and attention to detail.
• Knowledge of MS Office (Excel, Word, PPT).
• Able to work independently with some direction.
• Customer Focused.

Responsibilities

• Assist client managers during all stages of the contract labor acquisition process including requisition intake, sourcing, and candidate shortlisting and interviewing.
• Prepare insightful questions for requirement intake sessions to gather detailed job descriptions for distribution to the supply base.
• Document requirement intake conversations in the appropriate database (VMS, AGS360).
• Use reports to manage open requirements and advise managers on status and supplier strategies for timely responses.
• Discuss with hiring managers agreed expectations, timeframes, and responsibilities of participants in the requisition fulfilment process.
• Coach, manage and oversee performance of participating staffing suppliers.
• Document all client/supplier issues and track resolutions to ensure customer satisfaction in CRM.
• Monitor contract SLA’s, requisition aging, invoicing, time/expense entry and vendor compliance.
• Maintain and update monthly activity and performance reports.
• Provide constant interaction via face-to-face, email and phone with client, vendors, contract personnel and other partners.
• Assist with worker assignment management to improve data integrity.
• Coordinate with managers, vendors and security to complete necessary paperwork.
• Ensure work orders are closed with finish reasons and notify appropriate departments.
• Assist with collection of company assets from vendors.
• Monitor time and expense entry to ensure approvals by deadlines.
• Log client and vendor inquiries into Salesforce.com
